Reporting to: Group Finance Manager
Accounts Receivable Executive is responsible for managing the company’s receivables and ensuring that payments are collected in a timely manner. This role involves monitoring account balances, managing invoices, handling collections, and maintaining effective relationships with customers to ensure the company’s financial health.
Key Responsibilities:
1. Invoice Management:
- Prepare and send accurate invoices to customers in accordance with agreed-upon terms.
- Ensure that all invoices are processed in a timely manner and accurately recorded in the financial system.
2. Accounts Reconciliation:
- Reconcile customer accounts and resolve discrepancies between customer payments and the company’s records.
- Perform regular account reviews to identify overdue invoices and ensure that accounts are up-to-date.
3. Payment Collection:
- Follow up on overdue invoices through calls, emails, and written correspondence.
- Negotiate payment terms and arrange for payment plans with customers as needed.
- Process received payments, including checks, credit card transactions, and electronic transfers.
4. Customer Service:
- Act as the primary point of contact for customer queries related to billing, payment status, and account information.
- Address and resolve customer complaints and disputes in a professional manner to maintain positive relationships.
5. Financial Reporting:
- Prepare and submit regular reports on accounts receivable status, including aging reports and collections forecasts.
- Assist with month-end and year-end closing processes, including the preparation of financial statements and schedules.
6. Documentation and Compliance:
- Maintain accurate and organized records of invoices, payments, and customer communications.
- Ensure compliance with company policies, industry regulations, and legal requirements related to accounts receivable.
7. Process Improvement:
- Identify and recommend improvements to accounts receivable processes to increase efficiency and effectiveness.
- Stay updated on industry best practices and emerging trends in accounts receivable management.
Requirements:
- Minimum of 2 years of relevant experience, preferably in a healthcare or pharmaceutical company.
- Minimum ITE in Business/Finance/Accounting preferred.
- Proficiency in Chinese/Mandarin is required for effective communication with China Headquarters.
- Proficiency in English is required for effective communication with the Singapore Office.
- Experience with Sage accounting software is a plus.
- Strong proficiency in Microsoft Office suite, particularly Excel.
- Excellent communication skills and attention to detail.
