Human Resources Executive

Responsibilities:

The Human Resources Executive is responsible for providing administrative support to all human resources functions, ranging from recruitment, onboarding, employee development, engagement and all other duties as assigned.

Employee Data

  • Human Resources Database - Manage and update the Human Resources Management System (HRMS)
  • Employee Appraisal Process- Assist with the end-to-end employee appraisal process for all SAS educators. This includes ensuring the appraisal templates are current and progressive and in alignment with the school’s strategic priorities; setting and communicating key appraisal timelines and submission dates and actively following up to ensure that all employees schoolwide complete and submit annual appraisal documents.
  • Source Professional Development (PD) options for support staff and external contract employees and identify creative and effective ways to communicate professional learning opportunities to eligible employees.
  • Oversee the regular employee appreciation campaign to ensure that employees feel known, cared for and appreciated. This may involve recommending and sourcing healthy snacks or other small tokens of appreciation and distributing them to employees or partnering with the Working on Wellness lead to offer wellness focused employee opportunities.
  • Verification of employment- Work closely with the recruitment team to ensure that all candidates’ prior employment is verified and that reference checks are conducted with prior employers as part of the SAS hiring process.

Work Pass Matters

  • Assist with Work Permit and dependent pass applications for employees including renewals

Compliance

  • Consolidate and analyze data gathered from Conflict of Interest disclosures and analyze this data to follow up on any concerns noted or reported.
  • Ensure that all employees have completed and are up to date on required professional training (e.g. Safeguarding training, Assist training, first-aide training, anti-harassment, etc.) and implement a robust tracking system to follow up on any required training gaps.
  • Consult with and seek to understand any employee gift declarations submitted and make recommendations on the appropriate next steps for any gifts received.

Payroll Support

  • Monitor changes in employment terms and update the payroll system as required

Employee Leave

  • Assist in leave application and maintenance of the eleave portal
  • Send reminders to employees for leave applications if they applied for a substitute and did not record their absence in the system
  • Oversee the Leave reconciliation and reimbursement process

Offboarding

  • Update related stakeholders on departing employees (e.g. IT tickets, etc).
  • Send and collect information from departing employees and ensure that all exiting employees return their SAS ID, employment/dependent passes, etc in a timely manner
  • Ensure that all departing employees receive an exit interview and analyze the trends of employee exit data year over year.

Qualifications:

  • Diploma from a recognized polytechnic is required. Specialization in HR management would be beneficial
  • Good interpersonal and English communication skills, both written and oral
  • Knowledge of and experience using computerized payroll/personnel software
  • Strong computer skills with knowledge in Microsoft Word, Excel, and related applications with an interest in and ability to learn new applications
  • Excellent organizational and administrative skills
  • Possess a positive work attitude, professionalism and initiative with an ability to collaborate and proactively assist other team members and supervisors
