Due to our consistent expansion of business, we are keen to hire a new Personal Assistant cum Client Services Manager to join our team. This role is primarily administrative and will require a proficient and enthusiastic individual. You will be working alongside our Financial Advisors to provide support in the day-to-day tasks of Financial Planning and to liaise with clients. Job Responsibilities:
Client Servicing
•Preparing client review packs, providers' documents, and others
•Preparing new business sign-up packs
•Preparing statements of advice for existing clients/prospects
•Preparing pension sign-up packs
•Booking review meetings for existing clients
•Processing and checking new business applications/paperwork to ensure everything is inorder before handing them over to compliance for their checking
•Emailing clients outstanding requirements requested from providers or forwarding themto the Adviser to follow up with the client accordingly
•Processing client new business or top-up to send over to providers for processing
•Following up with providers for status updates when required by Advisers via email orphone
•Checking Advisers' calendars daily to ensure meeting rooms are booked
•Scanning in all confirmation/correspondence letters from providers to clients' folders
•Frequently checking incoming emails for Adviser/providers' requests or queries
• Chasing providers for new business in the pipeline for the respective Advisers you are working for
• Submitting monthly spreadsheets to ensure maintenance of client details/status in the CRM system
• Any other general administrative work and various ad hoc duties
Personal Assistant
• Managing and organizing the Financial Advisors’ schedules and appointments
• Handling correspondence, phone calls, and client inquiries promptly and professionally
• Coordinating travel arrangements and itineraries for business trips
• Assisting in the preparation of presentations and other documentation for meetings and conferences
• Maintaining an organized filing system for both physical and digital records
Job Requirements:
• 2+ years of industry-related financial para-planner experience preferred
• Proficient in English, both verbal and written
• Detailed and meticulous
• Good time management
• Excellent communication and interpersonal management skills
• Independent and self-motivated
• Responsible individual with a positive mindset
• Dynamic, proficient, and result-driven personality
• Ability to prioritize and manage your workload without supervision
