WARD ADMIN ASSISTANT

The Ward Admin Assistant reports to the Assistant Director, Nursing (ADON) and assists the ADON in day-to-day administrative duties. You will co-ordinate and perform clerical and support functions in the ward so that the nurses can focus on their resident care activities. Provide limited resident care activities and orientation to residents and Next-of-Kin.


Job Responsibilities

· Support the Nursing Department in all administrative functions such as filling, co-ordination incoming and outgoing mails, monitoring stationary usage, residents’ transport and meals request/cancellation/suspension, raising purchase requisition of ward fixed assets and etc.

· Point of contact for all non-medical questions raised by residents and their families may have.

· Maintain and update residents’ database, collating residents’ month end reports.

· Coordinates the SOC appointments, to home leave and back.

· Reports issues or concerns regarding residents and their families to relevant stakeholder.

· To assist in the billing of services rendered to residents by nursing service (medication, transport, consumable and etc.)

· Work with various internal and external stakeholders such as assisting in the dispatching of specimens to the laboratory.

· Responsible for the various activities organized by the Nursing Home e.g. preparation of material and refreshments for workshops and key meetings

· To be a resource and support in corporate activities and event.

· Perform other duties as assigned by DON/Nurse Manager from time to time.


Job Specification

· Minimum ‘O’ / ‘A’ Levels, preferably with certificate of office skills

· Preferably with at least 1 year relevant working experience with medical experience – medical receptionist, retired nurse.

· Good problem solving and communication skills

· Competent in MS Office applications

· Self-directed with the ability to work with little supervision.

· Comply with accepted professional standards and practices.

· Flexible and cooperative in fulfilling all obligations.
