As an Operations Executive, you will be responsible for overseeing outlet operations to ensure smooth functioning and exceptional service delivery. You will play a pivotal role in equipment maintenance, stock management, facility upkeep, and fostering seamless communication between the clinic and back-office functions.
Responsibilities:
1. Outlet Operations Management:
- Oversee day-to-day operations to ensure efficient and effective service delivery.
- Monitor and maintain operational smoothness, addressing any issues or bottlenecks promptly.
2. Equipment Maintenance:
- Manage equipment servicing, maintenance, and repair issues to minimize downtime and ensure optimal performance.
- Coordinate with vendors and service providers to schedule maintenance activities and resolve technical issues.
3. Premises Upkeep:
- Ensure that the clinic premises are well-maintained, clean, and in compliance with safety and hygiene standards.
- Address any facility-related issues promptly and coordinate necessary repairs or improvements.
4. Stock Management:
- Collaborate with the procurement department to manage stock levels, including ordering and storage of products.
- Liaise with internal and external stakeholders to ensure timely delivery of supplies and optimize inventory management.
5. Communication Facilitation:
- Act as a bridge between the clinic and back-office functions, facilitating seamless communication and coordination.
- Relay important information, requests, and feedback between different departments to ensure alignment and efficiency.
6. Vendor and Stakeholder Management:
- Liaise with suppliers, inspectors, contractors, and agents to ensure smooth operations and timely resolution of issues.
- Establish and maintain positive relationships with external partners to support the clinic's operational needs.
7. Customer Service:
- Handle client inquiries, complaints, and feedback promptly and professionally, ensuring a positive customer experience at all times.
8. Ad-Hoc Tasks and Administrative Support:
- Assist with ad-hoc tasks and projects as assigned by management, demonstrating flexibility and adaptability.
- Provide administrative support as needed, including documentation, record-keeping, and coordination of meetings or events.
Requirements:
- Bachelor's degree in administration, business management, or a related field (preferred).
- Previous experience in operations management, preferably in a healthcare or aesthetics clinic setting.
- Strong organizational and problem-solving skills, with the ability to prioritize tasks and manage multiple responsibilities effectively.
