Executive Assistant (Asset Management)

Ain Society is looking for a dedicated and versatile Executive to oversee the management of our physical and fixed assets and provide IT technical support to all staff. The ideal candidate will have a strong background in asset management and IT support, demonstrating excellent organizational, problem-solving, and communication skills.


Key Responsibilities

Physical and Fixed Assets Management:

  • Maintain accurate records of all physical and fixed assets, including acquisition, allocation, maintenance, and disposal.
  • Conduct regular audits and inspections of assets to ensure they are properly maintained and accounted for.
  • Develop and implement policies and procedures for asset management, ensuring compliance with relevant regulations and standards.
  • Coordinate with vendors and service providers for asset procurement, maintenance, and repairs.
  • Prepare and manage asset management budgets, tracking expenses and ensuring cost-efficiency.

IT Technical Support:

  • Provide technical support to all staff, addressing hardware and software issues in a timely and efficient manner.
  • Work closely with our outsourced IT technical support to perform various IT solutions.
  • Ensure the security and integrity of the organization's IT systems, implementing necessary updates.
  • Manage IT assets, including inventory tracking, lifecycle management, and disposal of obsolete equipment.
  • Provide staff with guidance on IT systems and best practices, including troubleshooting common issues.

Coordination and Communication:

  • Serve as the primary point of contact for asset management and IT-related inquiries and issues.
  • Collaborate with various departments to identify and address asset and IT needs.
  • Prepare and present regular reports on asset status, IT performance, and related activities to senior management.
  • Facilitate effective communication and information flow between the IT team and other departments.

Project Management and Other Duties:

  • Assist in the planning and execution of special and adhoc projects and initiatives.
  • Assist the logistics team for event logistics and materials preparations.
  • Ensure events are executed smoothly as and when required.
  • Any other duties as assigned by the Management.
