Key Responsibilities:
1. Administrative Support:
1a)Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
1b)Organize and prioritize emails, calls, and correspondence.
1c)Prepare and edit documents, reports, and presentations.
2. Communication:
2a)Serve as the primary point of contact for internal and external parties.
2b)Facilitate communication between executives and team members.
2c)Draft and manage professional correspondence.
3. Office Management:
3a)Coordinate office activities and operations to ensure efficiency.
3b)Manage office supplies and inventory.
3c)Organize company events and meetings.
4. Project Management:
4a)Assist in the planning and execution of company projects and events.
4b)Monitor project timelines and deliverables.
4c)Provide support to various departments as needed.
5. Confidentiality:
5a)Handle sensitive information with discretion.
5b)Maintain confidentiality of all company data and executive matters.
6. Travel Arrangements:
6a)Arrange travel itineraries, accommodations, and logistics for executives.
6b)Prepare travel expense reports.
7. Customer Relations:
7a)Engage with customers and clients on behalf of the executive team.
7b)Address customer inquiries and issues promptly.
8. Miscellaneous Tasks:
8a)Perform various personal tasks for executives as required.
8b)Adapt to a dynamic work environment and take on additional duties as needed.
Qualifications:
Education: Diploma or degree in Business Administration or related field.
Salary : negotiable based on experience.
Experience: Proven experience as a personal assistant or in a similar role.
Skills:
Excellent organizational and time-management skills.
Strong written and verbal communication skills in English and Mandarin.
Proficiency in Microsoft Office Suite and other relevant software.
Ability to multitask and prioritize tasks efficiently.
High level of professionalism and discretion.
