Registration Manager

General Description

The Registration Manager (“RM”) manages vessel registration, mortgage and corporate transactions. The RM provides authoritative Registry information to clients, and promptly answers client queries. The RM vets submitted registration, mortgage and corporate documents. The RM guides clients through the process to ensure transactions are completed according to requirements and client imperatives. The RM communicates clearly and efficiently with clients and ensures prompt and reliable registration and corporate service in line with internal procedures. The RM participates in efforts to market the Registry, attending client meetings and marketing events upon request. The RM performs other services required to ensure a high level of service and daily Registry operations.

Essential Duties and Responsibilites

Vessel and Mortgage Registration

  • Provide full-service for vessel registration and mortgage transactions;
  • Guide clients through vessel and mortgage registration process, providing information and answering queries;
  • Reserve vessel names and assign vessel official numbers, call signs and MMSI numbers;
  • Record mortgage instruments and financing charters;
  • Create registration files, upload documents, enter/maintain vessel and ownership particulars;
  • Vet registration and mortgage documents for accuracy and conformity with legal requirements;
  • Provide feedback to clients regarding draft vessel registration documents and mortgage instruments;
  • Coordinate vessel and mortgage registration closings with clients, colleagues and other offices;
  • Issue registration and mortgaged certificates;
  • Follow-up on outstanding items to ensure complete post-closing files;
  • Troubleshoot and propose solutions to vessel and mortgage registration issues;
  • Train registration staff, as necessary;
  • Participate in marketing meetings, shipping events and workshops.

Corporate

  • Authoritatively answer client queries regarding the Corporate Registry, including questions regarding corporate advantages, requirements and procedures;
  • Provide clients with information on Company formation and FME Registration;
  • Guide clients through company formation and FME registration;
  • Review and approve KYC;
  • Review, vet and process corporate applications, including company formation, FME registration, issuance of certificates of good standing, filing documents in the public register, recording documents, withdrawals and dissolutions, re-domiciliations and issuance of share certificates.

General Qualification Guidelines

Experience, Education and Certification

  • University graduate, law graduate preferred;
  • At least 5 years of experience;
  • Legal experience preferred;
  • Maritime industry experience preferred.

Knowledge, Skills and Abilities

  • Resourcefulness and solutions-oriented approach to issues;
  • Ability to deliver high-quality service and manage client expectations;
  • Confidentiality;
  • Fluent written and oral English language and business correspondence skills;
  • Comprehensive knowledge of Liberian Maritime Law, Regulations and registration procedures;
  • Written and oral Mandarin, Hindi and/or Bahasa language proficiency preferred;
  • Proficient knowledge of Microsoft Office and Adobe applications;
  • Ability to remain calm and work efficiently in a high-paced environment;
  • Ability to organize and prioritize work to meet deadlines;
  • Well-developed interpersonal and communication skills;
  • Well-organized and detail-oriented;
  • Ability to work both independently and as part of a team;
  • Ability to delegate and supervise work;
  • Availability to work outside regular business hours according to business needs;
  • Ability to work closely with clients and represent the company in a professional manner.
