Job Description


  • Support and guide on-site team in administrative tasks for the site and conduct system trainings.
  • Manage helpdesk lines during working hours, offering frontline assistance for inquiries and work requests.
  • Assist in consolidating and reporting responsibilities for JLL and HDB/MND, including arrears, operational reports, expenditure tracking, sustainability reports, and utilities reports.
  • Ensure proper organization of site documentations and filing systems.
  • Handle general administrative duties for the project. Maintain accurate records of site information.
  • Verify invoices for completed work and received goods.
  • Collaborate with finance and on-site team for vendor invoice processing.
  • Address occupant and public inquiries and feedback via calls, email, and walk-ins.
  • Administer air-con extension billing as required.
  • Assist in tenant communications, circular preparation, and management of occupant correspondences.
  • Manage event requests and booking, coordinate team standby, and assist with logistics stocktake during event set-up and tear down.
  • Compile events summary report to be summited to client
  • Track events billing and follow up with requestors on the payment
  • Track, monitor, and assign cases on CMMS, assisting the on-site team in issuing work orders to contractors.
  • Ensure contractors submit completion documentation and follow up on outstanding works and payments.
