Location: Singapore


Job Summary:

We are seeking a highly organized and efficient Admin Executive to support our daily operations. The successful candidate will be responsible for providing administrative support to ensure the smooth and efficient functioning of the office. This role requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.


Key Responsibilities:

Administrative Support:

  • Perform general administrative tasks, including filing, trade data entry, and managing correspondence.
  • Prepare and maintain documents, reports, and presentations.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Assist in the preparation of meeting agendas and minutes.

Office Management:

  • Manage office supplies inventory and place orders as needed.
  • Coordinate with vendors and service providers for office maintenance and repairs.
  • Handle incoming and outgoing mail and courier services.

Client Support:

  • Assist in the preparation and distribution of client communications.
  • Maintain and update client records and databases.
  • Assist in organizing client meetings and events.

Documentation:

  • Maintain and keep track of files on the company drive, ensuring that all company documents are well-organized.
  • Assist in the preparation of regulatory filings and reports.
  • Maintain confidentiality and security of sensitive information.

Team Support:

  • Support the planning and execution of special projects, ensuring timely and successful completion.
  • Provide administrative support to various departments as needed.
  • Organize company cohesions and activities.
  • Support the HR with recruitment and onboarding processes.
  • Perform other duties as assigned by management.

Qualifications:

  • Diploma or Bachelor's degree in Business Administration, Office Management, or a related field.
  • Minimum of 2-3 years of experience in an administrative role, preferably in the financial services industry.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Knowledge of fund management operations and processes is a plus.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with discretion.
  • Customer-focused with a positive and professional attitude.
  • Effective communication and interpersonal skills.
  • Ability to work independently with minimal supervision.
  • Proficient in both English and Mandarin
