JOB DESCRIPTION


We are seeking a highly organized and proactive Administrative Staff member to join our CEO Office. The successful candidate supports the CEO Office Managers by managing the sourcing of equipment, arranging logistics, handling leasing administration, and maintaining various performance and rental collection reports across different business entities. This role requires excellent multitasking abilities, attention to detail, and the capacity to handle sensitive information with discretion.


JOB RESPONSIBILITIES

  • Identify and source equipment and supplies as required by the CEO and Managers.
  • Liaise with vendors and suppliers to obtain quotes, negotiate terms, and ensure timely delivery of items.
  • Organize and manage logistics for meetings, conferences, and other events, ensuring all requirements are met.
  • Manage leasing agreements, ensuring compliance with terms and conditions.
  • Maintain accurate records of all lease documents and correspondence.
  • Compile and update the daily performance report, collecting relevant data and ensuring accuracy.
  • Update and maintain the monthly rental collection report, ensuring all payments are tracked and recorded.
  • Other task assigned by Coffeeshop Supervisor or Management

JOB REQUIREMENTS

  • Diploma in Business Administration, Management, or related field.
  • Proven experience in an administrative or executive assistant role, preferably supporting senior executives.
  • Strong organizational skills and the ability to manage multiple tasks and priorities effectively.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Detail-oriented with strong analytical and problem-solving skills.
  • Ability to work independently and take initiative.
