Job Summary
The Admin Executive will support the Facility, Safety & Security Department in managing daily administrative tasks. This role requires a detail-oriented individual with excellent organizational and communication skills.
Role and Responsibilities
Administrative Support:
· Provide administrative support to the Facility, Safety & Security Department.
· Manage and maintain records, documents, and reports.
· Schedule and coordinate meetings, appointments, and events.
· To raise purchase requests for the department.
· To maintain and update of the facility SOP.
Facility Management:
· Ensure smooth operations and proper maintenance of the facility.
· Plan and execute all facility management activities.
· Perform maintenance tasks following the schedule, such as air conditioning servicing and timely temperature calibration.
· Administer, inspect, and monitor all preventive maintenance and ad-hoc repair work.
· Ensure that the pest control program is carried out monthly.
· Conduct regular inspections within the facility to ensure the equipment is functional and maintain a high standard of cleanliness.
· Properly file all service reports and facility-related documents.
· Provide a monthly report on maintenance or ad-hoc jobs performed.
Safety and Security:
· Support the implementation and maintenance of safety protocols.
· Assist in conducting safety drills and training sessions.
· Maintain records of safety incidents and ensure compliance with safety regulations.
· To be part of the response team.
Communication:
· Act as a point of contact for internal and external stakeholders.
· Draft and distribute correspondence, memos, and notices.
· Ensure timely and accurate dissemination of information.
Additional Duties:
· Perform other related duties as assigned.
Requirements
· Diploma or equivalent in Business Administration or a related field.
· Minimum of 2 years of experience in facility management or safety and security.
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
· Strong organizational and multitasking abilities.
· Excellent verbal and written communication skills.
· Ability to work independently and as part of a team.

- 5 Days Workweek
- Working Hours: Monday to Thursday 8.30 am to 6.00 pm, Friday 8.30 am to 5.30 pm
