We are seeking a detail-oriented and proactive Admin and Sales Coordinator to join our team. The ideal candidate will manage various administrative tasks, coordinate sales activities, and support the delivery and shipping processes. This role requires excellent organizational skills, the ability to multitask, and strong communication skills.
Responsibilities:
Delivery and Shipping:
· Issue Delivery Orders and follow up on shipment statuses.
· Plan delivery schedules with our Malaysia office/factory.
· Assist the sales team with shipping cost estimates and inquiries.
· Coordinate vessel schedules and handle export documents.
· Oversee loading/unloading, arrange transportation, and manage warranty returns.
Sales Administration:
· Update and communicate technical specifications to production.
· Handle ad-hoc issues and manage payment requests.
· Track overdue payments and update production schedules.
General Administration:
· Schedule regular and ad-hoc deliveries.
· Maintain office equipment and supplies.
· Assist with claims, travel bookings, and ad-hoc tasks from management.
Purchasing:
· Support procurement activities and manage purchase orders.
· Oversee goods receiving and vendor relations.
Finance (Accounts Payable):
· Issue AP invoices and manage account filings.
· Handle payment vouchers, vendor payments, and bank reconciliations.
Requirements:
· Proven experience in an administrative or sales support role.
· Strong organizational and multitasking skills.
· Excellent written and verbal communication skills.
· Proficiency in Microsoft Office Suite.
· Knowledge of logistics and shipping processes is a plus.
· ITE Diploma, Polytechnic Diploma or equivalent in business administration or a related field is preferred.
· Detail-oriented with a strong focus on accuracy.
· Effective time management and problem-solving skills.
