Commercial Product Specialist

MAIN PURPOSE

• Responsible for stock management in the region for all networks
• Ensure timely distribution of products corresponding to supply planning to ensure product availability
• Works in close collaboration with Commercial, Finance and Marketing
• Assists on updating of reports for management
• Handle special projects and tasks on an ad-hoc basis
• Overall ensures that tasks are effectively completed in order to support the company’s overall strategy and goals

KEY RESPONSIBILITIES

1. Supply Chain Management

• Stock enquiries management for all networks
• Ensure stock data is uploaded and updated in system: missing and/or wrong serial number, new article references creation, images etc
• Support boutique team with system issues between retail and office systems
• Manage stock adjustments post validation
• Manage press sample status and movement
• Support end to end shipment and stock receiving process
• Manage shipments with forwarder regarding import/export
• Manage stock routing with logistics and security for all events
• Manage logistics documentations ie: Cites, packing lists, RCEP etc
• Vet through all shipment invoices to ensure charges are in line with all shipments
• Ensure all shipment invoices are approved and sent to finance in a timely manner
• Staff Purchase and Staff Sales – to manage orders and stocks to fulfil requests, including coordination with respective staffs, finance, and logistics

2. Commercial Sales Operations

• Daily invoicing to POS (Tax invoices, Delivery Orders and Credit notes)
• Manage shipment and delivery of goods by liaising with retailers and logistics teams
• Support on liaising with POS on outstanding orders and stock delivery
• Customer master data maintenance with updates from commercial
• Ensure compliance with customer’s standard operating procedure

3. E-commerce Operations

• Manage e-com stock availability update weekly
• Manage e-com customer orders from fulfilment to pickup
• Manage e-com POSM replenishment as needed ie: paperbags etc

4. Reporting and Analysis

• Assist in stock analysis reports when needed
• Monthly Inventory report and stock count, responsible for the accuracy of stock holding in warehouse and movement to different locations
• Daily reports: PSI Reporting
• Weekly reports: Weekly Sales Flash
• Monthly reports: MBS Stock Purchase, Qty, Value & Sales, Insurance Freight Shipment tracking, Retailers Stock consolidation
• Ad-hoc reports: Purchases, Sales and Inventory

Qualifications

• Diploma Holder with up to 2 years of relevant sales operational and inventory management experience
• Possess both operational and analytics skillsets
• Good written, verbal communication and presentation skills
• Proficient in MS Office especially in Excel and PowerPoint, with experience with sales, inventory management and BI tools
• Strong teamwork and experienced in working with and delivering to cross-functional partners regionally
• Good communications and collaborative skills with our internal/external partners to resolve, handle shipping and all customs requirements.
• Highly organised, structured and meticulous.
• Result oriented professional with problem resolution and follow through skills
• Willing to learn with positive attitude; able to meet deadlines with self-initiative
• Other ad hoc administrative and organisational support tasks
