Purpose of the Role:
Reporting to the Manager, you will assist the team in events, operations, administrative duties, and data management support. This includes facilitating smooth operations in these areas.
Key Responsibilities:
1. Administrative duties:
- Budget tracking for team and reconciliation with finance
- Handle and track procurement requirements for the department needs
- Perform checks on participants (screening or vaccination) to verify their data and input into the leap system
- Reconciliation of invoices for department’s campaigns and programmes
- Data entry of survey forms
- Assist in making calls to update personal information for participants whom direct mails are returned through post
- Update participants information in database (LEAP)
- Database management for the department
2. Events and logistics management:
- Support the planning of activities such forums, workshops, webinars, and roadshows
- Support outreach strategies to reach target audiences and stakeholders.
- Build and maintain relationships with key stakeholders including partners, sponsors, vendors, and attendees.
- Provide administrative support related to events and outreach activities, including managing RSVPs, databases, and communications.
- Manage enquiries from public or participants (via calls and email)
- Assist to coordinate all logistical aspects of events
- Assist to coordinate the appropriate staffing of each activity, including requisition of volunteers for events or roadshows
- Present at the activity to ensure the smooth running of the activity
- Act as a representative of the organization at events and engage with participants to enhance brand awareness and relationship-building
3. Other duties:
- Assist in packing FIT kits for ad-hoc events
- Send out FIT kits through post
- Help to call participants if information is incomplete
Key Requirements:
- O’ Levels and above
- Experienced in Admin and/or Customer Service
- Excellent customer service
- Event Management
- Able to work in a fast-paced environment
- Meticulous and detailed in work output
- Able to work independently as well as with teams
- Able to work on some weekends
- Willing to learn and self-learner
