COMPLIANCE AND BUSINESS EXCELLENCE EXECUTIVE / MANAGER
Join the PC Dreams Group as a Compliance and Business Excellence Executive / Manager and play a crucial role in driving our mission forward. As a key member of our team, you'll oversee the aspects of compliance and business excellence across our operations.
We seek a dynamic and experienced individual with a good understanding of ICT devices and a passion for sustainability, and excellent leadership skills. This role is critical in driving the efficiency and effectiveness of our processes, contributing to the overall success of myhalo.com.sg.
KEY RESPONSIBILITIES
Certifications & Compliances Management
ISO 9001 & 27001 documentation and maintenance
- Create and maintain documentation and logs required for ISO certification
- Maintain systems to meet ISO standards
- Conduct internal audits on processes and systems to ensure compliance with ISO standards
- Coordinate with external auditors for certification audits and address any non-conformities
- Communicate with our user team to gather the software bugs and improvements,maintain the documentation and present it to our IT provider for discussion
Cyber Security Certification
- Identify and assess cyber security risks to the organization
- Maintain and improve cyber security policies and procedures
- User role and credential management for implementing technical and administrative controls to mitigate identified risks
- Develop and perform testing an incident response plan for cyber security breaches
- Conduct regular training sessions for employees on cyber security best practices
- Regularly reviewing and updating security measures to ensure compliance with certification requirements.
- Conducti regular vulnerability assessments and penetration testing
ESG (Environmental, Social and Governance) Reporting
- Oversee ESG Reporting process with external consultant
- Regularly review and improve ESG practices and reporting processes
- Ensure compliance with regulatory requirements and reporting standards
Business Excellence
- Analyze current business processes to identify inefficiencies or areas for enhancement
- Compare business processes against industry standards or competitors to identify best practices
- Design and implement new processes or changes to existing ones
- Track the performance of new processes, evaluate and make adjustments as necessary
Standard Operating Procedures Management
- Work closely and regularly with internal and external stakeholders to review and update SOPs to reflect changes in processes or regulations
- Document current processes using flowcharts or process maps
- Work closely with the HR department to develop training materials for SOPs
- Conduct periodic/ad-hoc internal/external training for new process/workflow or refresher session
- Ensure SOPs are compliant to the above certifications and regulations
Physical / Digital Asset Management & System Access Control
- Periodically review usage and validity of assets & access control
- Update and maintain asset system
- Work with internal team for ICT assets disposal or external vendors for other disposal
QUALIFICATIONS AND SKILLS
- Bachelor’s degree in Information Technology, Business Management, Business Administration, or a related field
- Minimum of 2 years of experience in Business System Administration or a similar role
- Good knowledge of ICT technologies, business processes, ISO certification and other compliances
- Organizational and problem-solving abilities
- Commitment to sustainability and circular economy principles
- Strong communication and interpersonal skills
- Proficiency in using inventory management and CRM software
