Task Overview:•
Project Management: Preparation and follow-up, as well as on-site supervision of up to 3 conferences/projects per year (online, onsite, or hybrid formats)
• Operational Implementation: Generally responsible for the operational implementation of the project
• Event Conception: Responsibility for general event conception in consultation with the Account Director• Supplier Coordination: Coordination of external suppliers and partners
• Project Team Coordination: Coordination of the project team
• Client Support: Client support in cooperation with the Account Director
• Communication Interface: Communication and information interface with all involved divisions and external partners as well as the link to the client in coordination with the Account Director
• Briefing and Negotiation: Briefing, presentations, proposal/contract negotiation in line with signature regulations with service providers and operational support including all correspondence internally and externally• Supplier Relationship: Development of long-term relationships with our suppliers and venues• Budget Maintenance: Project-related budget maintenance and coordination (contact person for budget controlling and General Management)
• Budget Preparation: Preparation of recurring project budgets together with the Account Director
• Technical Team Leadership: Technical team leadership with regard to project implementation
• Site Visits: Organisation and execution of site visits for ongoing projects (with and without client presence)
• Quality Control: Quality control of projects
• Substitution of Account Director: Substitution of the Account Director if required
Sales Competence:• Sponsorship Acquisition: Identifying and securing sponsorship opportunities for conferences
• Sales Strategy: Developing and implementing sales strategies to increase ticket sales and event participation
• Client Relationship Management: Building and maintaining relationships with potential and existing clients to drive sales• Market Research: Conducting market research to identify new sales opportunities and trends• Sales Reporting: Tracking and reporting on sales metrics and performance
Employee Profile:
• Event Industry Experience: Experience in the event industry, e.g., with scientific conference formats or in the trade fair sector
• Educational Background: Successfully completed degree or commercial training with relevant professional experience
• Project Management Experience: Several years of experience as a project manager
• Customer and Service Orientation: Strong customer and service orientation and ability to work in a team• Analytical and Communication Skills: Good analytical skills and strong communication skills
• Structured Working Style: Very structured and independent way of working as well as strong quality awareness
• Creativity and Teamwork: Creativity, ability to implement and work in a team as well as willingness to take on responsibility
