Responsibilities:

  • Executive Support and Confidentiality:
    • Handle sensitive and confidential information with the utmost discretion.
    • Prepare and manage communications and documents, ensuring confidentiality and accuracy.
    • Facilitate communication and coordination by conveying the directors’ instructions and work arrangements to various stakeholders within the company.
    • Organize and maintain the directors' files, documents, and records in both digital and physical formats.
    • Assist the directors in researching and following up on matters within the directors’ responsibility, including chasing responses and triggering follow-up actions.
    • Manage the directors’ email and messaging app correspondences and serve as the primary point of contact, screening and prioritizing inquiries, and handling routine correspondence on behalf of the director.
  • Schedule and Meeting Coordination:
    • Maintain and coordinate calendars for the directors and managing appointments.
    • Record meeting discussion and follow-up actions.
    • Assist in preparing meeting materials, presentations and reports.
  • Personal Assistance:
    • Manage the directors’ expenses and reimbursements.
    • Anticipate the directors' needs and proactively suggest solutions to improve efficiency.
    • Assist with and attend to the directors’ personal matters.
  • Ad Hoc Tasks:
    • Efficiently manage and execute ad hoc tasks as assigned by the directors, ranging from project management to operational adjustments.
    • Adapt quickly to changing priorities and new challenges.

Requirements:

  • Bilingual in English and Mandarin to liaise with Mandarin-speaking associates due to business communications needs.
  • Excellent time management skills and the ability to work independently in a fast-paced environment.
  • Demonstrated ability to handle confidential information with discretion.
  • Excellent communication skills, both written and verbal.
  • Proficiency in MS Office and familiarity with advanced communication tools.
