We are looking for a candidate to support our sales team. We need a person who takes initiatives, detailed in paperwork, has excellent comprehension and able to multitask at times.


Admin Sales Support

Singapore based
Permanent full-time role
Work Days: Mondays to Fridays
Office Hours: 9am to 630pm
Lunch Hour: 1 hour


Responsibility


Customer:

  • Supporting sales team through answering customers queries on products, checking stocks online and taking orders via phone/email/whatsapp.
  • Communicate with suppliers through emails for order placements and deliveries.
  • Liaise with courier companies for packing materials, pick up and deliveries.
  • Liaise with couriers and forwarders for pick-up, prepare documents and custom invoices.
  • Pack and repack orders for distribution (weight from 1kg to 15kg)
  • Ensuring all goods are correctly and well packed to customer.
  • Send SOA to customers.
  • Handling client concerns and complaints with professionalism.

Administration:

  • Forwarding emails to appropriate recipients, deleting junk mails.
  • Create invoice to customers, send to customers and print copy for accounts.
  • Update consistently records of goods, customer and supplier details in server.
  • Keep track on receipts of office expenses, records for petty cash and monthly reporting.
  • Submitting invoices and payment copies to accounts department.
  • Request monthly SOA from accounts, follow up on customer payments and send copy of payments to accounts.
  • Sorting through company’s mailbox and delivering mails to the appropriate recipients.
  • Updating regular inventory of office supplies, inventory of tailoring accessories (buttons, tags etc)
  • Organizing office files in a way that can be easily accessed and understood by employees.
  • Filing various documents both on the computer and in filing cabinets.
  • Maintaining office equipment including scanners, fax machines, printers, and telephones.
  • Maintain filing and filing cabinet for invoices, payments and receivables.

Your experience:

  • Minimum “O” Level education
  • Clear precise communication skills in English for both verbal and written a must to avoid misunderstanding for business correspondences between suppliers, company and clients.
  • Added advantage if candidate is able to read and speak in basic Mandarin (if not, Google helps).
  • Able to use Microsoft Word and Excel formulas for basic documentations.
  • Must demonstrate excellent problem-solving and critical thinking skills.
  • Must be able to organize, plan well ahead and attention to detail.
  • Training will be provided on basic product knowledge.

There will be a 3 months probation period should candidate decide to join us
