Senior Administrative Executive

We are seeking a highly organized and motivated individual to oversee and manage a team of administrators within the firm. The successful candidate will be responsible for managing and ensuring smooth operations of a business unit. This role requires strong leadership skills, excellent organization abilities and a proactive approach to problem solving and learning multiple operating systems.


Job Description:

• Overseeing a team of administrators and typist teams in Singapore and Malaysia.

• Troubleshooting when problem arise and a gate-keeper for problem solving.

• SOPs to streamline processes.

• Control point of the firm's cost.

• Anticipate any problems or opportunities and provide solutions to resolve asap.

• Ensure admin procedures and documentations are complied.

• Ensure all admin tasks are smoothen and well-coordinated.

• Good knowledge of most of the house systems so as to address the issues or problems.

• Give feedback whenever needed.

• Ad hoc task as required and review OPE and costs control to support the business unit:

o Example: Docusign status Initiate & monitor execution on events in corporate calendar, CRM cleanup/caseware update

• Initiate continuous improvement to processes n procedures.

• IT knowledge to be able to liase with internal programmers on inhouse systems.

• Calender management handling yearly events.

• Handle enquires from employees.

• Working closely with department admins/HQ.

• Manages communication dissemination to dept & contents in sharepoint & shared folder.

• Organise & plan management & department meetings:

o Example: Arrangement of refreshments & setting of rooms, agenda.

• Approver for stationery purchase.

• Assist HQ in rolling out adhoc initiatives.


Job Requirements:

• Degree/Diploma in related field

• Strong organizational and multitasking skills.

• High proficiency in MS office applications.

• Good communication, written/verbal and interpersonal abilities.

• Good organiser - Ability to plan & manage

• Proactive approach to problem-solving and detail-oriented mindset.

• Independent and ability to work with minimum supervision in fast-paced environment
