Job Description:

We are seeking a detail-oriented and organized Admin and Billing Executive to join our team. This role is crucial in ensuring smooth operations by managing administrative tasks and overseeing billing processes. The ideal candidate will possess strong organizational skills, attention to detail, and proficiency in administrative and accounting software.


Responsibilities:

1. Billing and Invoicing:

  • Verify the completeness of job files received from Operations.
  • Review the customer’s billing requirements based on the specific job file, customer contracts, or standing instructions.
  • Confirm pricing, customer information, and job details to ensure billing accuracy.
  • Enter billing information into the MoneyWorks application and generate a proforma invoice for Operations' review and endorsement.
  • Receive the endorsed job file and proforma invoice for final invoice generation, in a timely manner.
  • Address internal and external queries regarding billing disputes, seek clarification on correct billing information, and initiate requests for full credit notes or rebills as necessary.
  • Follow up on unbilled jobs to ensure completion within the specified timeframe.
  • Monitor accounts receivable and follow up on outstanding payments.
  • Prepare financial reports related to billing and accounts receivable.

2. Administrative:

  • Maintain and update customer databases.
  • Ensure proper filing and categorization of documents and folders.
  • Assist with the application and renewal of licenses and certifications.
  • Perform other general HR administrative tasks as needed.

Job Requirements:

  • Minimum of a Diploma in Accounting, Business Administration, Finance, or a relevant field.
  • At least 3 years of experience in Accounts Receivable, Billing, or Customer Service is preferred.
  • Meticulous with a keen eye for detail.
  • Effective communicator with the ability to interact efficiently with internal and external parties.
  • Capable of multitasking and working under pressure to meet deadlines.
  • Demonstrates tenacity and resilience.
  • Proficient in Microsoft Office, with strong reporting and analytical skills.
