Job Description:The Administrative Assistant will play a key role in ensuring the smooth and efficient operation of our office. This position requires a detail-oriented individual with strong organizational skills who can manage multiple tasks and priorities effectively.

Key Responsibilities:

  • Provide general administrative support, including managing correspondence, scheduling meetings, and handling office communications.
  • Coordinate office activities and operations to ensure efficiency and adherence to company policies.
  • Maintain and organize office files, records, and documentation.
  • Assist in the preparation of reports, presentations, and other documents as needed.
  • Support office supply procurement, including inventory management and vendor coordination.
  • Manage and organize the office environment to ensure a clean and professional workspace.
  • Assist in organizing and coordinating company events, meetings, and travel arrangements.
  • Handle the scheduling and calendar management for leadership, including arranging meetings and appointments.
  • Support HR-related tasks, including scheduling interviews and assisting with onboarding processes.
  • Liaise with external vendors and service providers to manage office needs.
  • Handle other ad-hoc administrative tasks as required.

Requirements:

  • Diploma or degree in Business Administration, Office Management, or a related field.
  • Proven experience in an administrative or office support role.
  • Fluent in both English and Chinese, with excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize work effectively in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong interpersonal skills and the ability to work well with a diverse team.
  • High level of professionalism and discretion in handling confidential information.
