The Secretary will support the Chairman by managing daily schedules, coordinating meetings, and handling correspondence. Job Scope
Administrative Support:
- Manage the Chairman's calendar, schedule meetings, and coordinate appointments.
- Prepare and organize documents, presentations, and reports for meetings.
- Handle incoming and outgoing correspondence, including emails, letters, and phone calls, including courier services.
- Maintain a well-organized filing system, both physical and electronic.
Personal Assistance:
- Assist with personal errands and tasks as requested by the Chairman.
- Coordinate travel arrangements, including booking flights, accommodation, and transportation.
- Prepare travel itineraries and ensure all necessary documents are in order.
- Manage personal expenses and process reimbursements.
- Ensure confidentiality and handle sensitive information with the utmost discretion.
Meeting Coordination:
- Prepare agendas, take minutes, and distribute them promptly after meetings.
- Coordinate with internal and external stakeholders to ensure timely and effective communication.
- Assist in the planning and execution of events, conferences, and other engagements.
Qualifications & Skills Required
- Full certificate in GCE 'A' Level, Diploma awarded by a polytechnic in Singapore or equivalent.
- Proven experience in a similar role, preferably supporting senior executives.
- Excellent organizational and time-management skills.
- Proficiency in Microsoft Office Suite.
- Ability to work independently with minimal supervision.
- High level of integrity, discretion, and professionalism.
- Flexibility to work outside regular office hours when needed.
