The Secretary will support the Chairman by managing daily schedules, coordinating meetings, and handling correspondence. The role involves providing both administrative and personal assistance, requiring strong organizational skills, discretion, and the ability to multitask in a fast-paced environment.


Job Scope

Administrative Support:

  • Manage the Chairman's calendar, schedule meetings, and coordinate appointments.
  • Prepare and organize documents, presentations, and reports for meetings.
  • Handle incoming and outgoing correspondence, including emails, letters, and phone calls, including courier services.
  • Maintain a well-organized filing system, both physical and electronic.

Personal Assistance:

  • Assist with personal errands and tasks as requested by the Chairman.
  • Coordinate travel arrangements, including booking flights, accommodation, and transportation.
  • Prepare travel itineraries and ensure all necessary documents are in order.
  • Manage personal expenses and process reimbursements.
  • Ensure confidentiality and handle sensitive information with the utmost discretion.

Meeting Coordination:

  • Prepare agendas, take minutes, and distribute them promptly after meetings.
  • Coordinate with internal and external stakeholders to ensure timely and effective communication.
  • Assist in the planning and execution of events, conferences, and other engagements.

Qualifications & Skills Required

  • Full certificate in GCE 'A' Level, Diploma awarded by a polytechnic in Singapore or equivalent.
  • Proven experience in a similar role, preferably supporting senior executives.
  • Excellent organizational and time-management skills.
  • Proficiency in Microsoft Office Suite.
  • Ability to work independently with minimal supervision.
  • High level of integrity, discretion, and professionalism.
  • Flexibility to work outside regular office hours when needed.

Working Employment:

Full-time position. Office environment.
