Core Responsibilities
Through exhibition-related project management, the role is to actualise provided curatorial direction and content into a physical gallery or exhibition space for visitors.
Project management capabilities will be the measure of success for the role. Broadly, success would begin with the development of a detailed timeline for the project – to enable the assignment of scope and responsibilities to relevant vendors; management of stakeholders and vendors to ensure all aspects are on track and delivered. Additionally, the role is responsible to identify risks (e.g., project slippage) and offer solutions to reduce impact. The following are further details of the role:
- Manage and direct all relevant aspects (to the given project) of pre-and post-project management and planning to ensure execution and delivery. These include venue sourcing; vendor sourcing; negotiation of costs; research and exhibition design and fabrication, preparation and management of tenders.
- Provide overall project management for travelling exhibitions to overseas markets.
- Responsible for budget management of gallery and exhibition projects to include accurate budgeting forecasting and keeping it within budget and ensure compliance to internal policies.
- Manage vendors (for research, exhibition design and fabrication, intermediaries and overseas contractors) during the project delivery and post project phase.
- Manage the appointed research vendor and ensure research accuracy.
- Provide curatorial direction and gallery/exhibition concept for each project.
- Ensure all data related to gallery and exhibition project activities is recorded and stored accurately in appropriate sources.
- Participate in joint sales pitches to secure business.
- Provide consultancy and advice to clients during the project.
- Provide regular and ad-hoc reporting of project progression to client and senior management.
Requirement
- At least 6 years of strong track record in providing consultancy related to gallery and exhibition design and set up.
- At least 3 years of experience in managing travelling shows to overseas markets.
- Meticulous and detail-oriented to manage all aspects of the project with the ability to multi-task to ensure project deliverables.
- Ability to juggle multiple projects at once, tech-savvy, thinking critically and possessing analytical skills with strong written and verbal communication skills.
- Strong budgeting and cost control skills.
- Strong stakeholder and vendor management skills.
- Experience in developing and publishing tender to procure services for turnkey projects.
- Excellent client communication and client servicing skills.
- Strong presentation skills to support sales pitches.
