Admin and Receptionist position - 5 days work week

Working Hours and Location:

5 days (9:00am - 6pm)

Location: Raffles place (5 mins from MRT)


Job Descriptions:

Front Desk Management:

  • Greet guests in a professional manner and serving drinks to guest upon their arrival
  • Answering incoming calls screening, email and enquiries directly
  • Keeping the reception area clean and tidy
  • Maintain a high level of alertness and professionalism by responding to guests and clients’ needs, requests or queries.


Administrative:

  • Perform filing, data entry, manage correspondence, and email communications.
  • Maintain office equipment, including postage records, pantry and stationeries supplies.
  • Handle and distribute mail, arrange courier services, maintain records equipment and office allocations.
  • Coordinate with vendors to arrange services, such as business card, stationery printing orders. Liaise with vendors providing office equipment and IT support
  • Events Management: Organize meal or catering events when needed for clients, team, or business partners.
  • Arrange, execute, and monitor logistics for items transported to other countries. Arrange international/shipping couriers, receive, and distribute incoming post.
  • Liaise with Building Management in the implementation of Emergency Evacuation Plan. Manage and maintain the office facility, co-ordinate matters related to facilities such as repairs and maintenance, cleaning services and statutory compliance checks.
  • Support HR such as preparation for new joiner and leaver processes.
  • Maintain, monitor, track and safekeep inventory and equipment’s.
  • Liaising with team members and supporting them in coordination with office’s departments functions.

Requirements:

  • Prior experience in customer service and administration is a plus
  • Excellent organizational and time management skills, with the ability to multi-task and priorities tasks
  • Proficient in Microsoft applications (Microsoft Word, Excel & PowerPoint
  • Able to start immediately will be preferred.
