General Affairs Admin Executive

Responsibilities:


General Admin

  • General Affairs Admin Executive, who will provide general administrative and secretarial support to the Director and Project Manager
  • In charge and full support in office establishment and maintain daily office operations
  • Support IT-related works such as maintenance of employees' workstations
  • Organise and execute company activities, including staff meeting agendas, all hands meeting, lunches, team social events and festive celebrations
  • Serve as a lead of company events
  • Preparing and maintaining company databases in Google sheet/Wrike platform for various projects and tasks
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence
  • Create and maintain filing systems (electronic)
  • Assist with a purchase requisition - pantry, office equipment etc
  • Maintain a tidy and well-organized pantry, meeting rooms, and office common areas
  • Main liaison person with external vendors on maintenance of office equipment and operations
  • Oversees office renovation/repairs works
  • Answer phones and greet visitors
  • Assist in any ad-hoc duties assigned by management


HR Admin

  • Assist in overall HR functions to ensure efficiency in day-to-day operations which includes
  • Create and post Job Ads on recruiting platforms whenever required for recruiting.
  • Create/follow up Work Orders to outsourcing companies/vendors
  • Monitor the service and maintenance contracts/employee records
  • Handling confidential contracts/resumes of candidates for the recruiting process
  • Manage onboarding/off-boarding of employees
  • Administrate staff access passes, equipment etc
  • Assist to implement HR & Administrative policies and procedures


Finance Admin

  • Assist in bank reconciliation and list of accrual
  • Administrate/tally invoices relating to procurement and other monthly expenses.


Requirements:

  • Candidate should have minimum ‘O’ Level qualifications
  • Preferably at least 2 years of working experience in Administrative work
  • Basic Accounting Knowledge will be an added advantage.
  • He/she should possess a positive attitude, is well-organized and able to multitask
  • Familiar with Microsoft, Google system and Apple MacOS system
  • Works independently, good team player, possess excellent communication and interpersonal skills
