Job Summary
Responsible for administration of student matters and other sales and after sales services including student contract, Fee Protection Scheme, and examination. Maintains good relationships with lecturers, students and other key stakeholders, and serves as a primary point of contact for urgent and emergency student issues.
Principle Duties and Responsibilities
1. Admission Processing
- Assist with programme application processing when submitted by Student Recruitment Team.
- Prepare Student Contract and Acceptance Form for Student Recruitment Team to send to applicants.
- Liaise with university for student matriculation into university system.
2. Student Support Services
- Managing Front Counter during office hours.
- Provide advice and assistance to students and lecturers who need appropriate resources and support.
- Attend to students’ queries and feedback, calls and general enquiries.
- Liaise with external vendors to provide resources to support staff and students.
3. Instalment Billings, issuance of Official Receipts and Fee Protection Scheme (FPS)
- Generate fee instalment Invoices from School Management Systems (SMS) and issue Official Receipts for every payment received.
- Ensure all fee payments are tracked and follow up with any late fee payments.
- Administer all FPS related matters – purchase/cancellation of FPS, update of records.
4. Course and Assessment Administration
- Maintain confidential student data and records according to regulatory requirements.
- Assist with ICA Student Pass application/cancellation/renewal
- Module enrolment
- Application for Course Withdrawal, Leave of Absence and Programme Transfer
- Examination logistics
- Student Notification and Update of Student Particulars
- Student cards and certificates collection
- Prepare Attendance Register before start of module/orientation/workshop.
- Attendance Tracking and monitoring.
- Update students’ module status (Pass/Fail) into School Management System.
5. Student Engagement
- Assist to plan non-academic training and development programmes and activities for students/alumni.
- Assist with new student orientation preparation and conduct Pre-Programme and Orientation survey. Collate Survey Analysis powerpoint slides at the end of each quarter.
- Assist with Student Services materials such as PowerPoint presentations, EDMs, etc. as needed to promote student/alumni engagement events
Requirements
- Diploma or Degree in any discipline
- Minimum one year work experience in a PEI – prior experience in a frontline/reception function would be advantageous
- Good interpersonal and communication skills
- Meticulous and organised
- Resourceful and customer service oriented
- Must be a team player
- Willing to work shifts and weekends when necessary
