Playing a crucial role in supporting HR activities and is instrumental in ensuring the smooth operation of HR-related functions. This position involves a blend of administrative tasks, coordination of HR processes, and providing support to the HR Manager and employees.
The role requires a high level of discretion, excellent organizational skills, and the ability to handle sensitive information with confidentiality.Responsibilities

- Recruitment and Staffing: assist with the recruitment process by posting job ads, managing applications, scheduling interviews, and assisting in the approval process.
- On/Off Boarding of employees: facilitate the onboarding process for new hires, which includes preparing offer letters, coordinating induction etc, and managing departures from the firm.
- Regulatory: ensure compliance with Singapore employment laws and regulations, including Legal Services Regulatory Authority, Law Society and Ministry of Manpower (MoM).
- HR Information Systems: maintain current HR P-files and PeopleSoft, updating information such as new hires, departures, and maintaining benefits programs.
- Payroll Administration: provide support in preparing monthly payroll using EasyPay and subsequent firmwide reporting (internal/CPF/MoM), and annual tax filings.
- Performance: support annual performance review processes, involving staff briefings, completion tracking, and salary review/bonus communication plans and documentation.
- HR Projects: being a project team member on people initiatives to streamline processes (upcoming priorities are a new onboarding portal, process mapping and diversity, inclusion and wellbeing initiatives).
About You
- Strong verbal and written communication skills are essential for drafting documents, coordinating with various departments, and interacting with employees and stakeholders at all levels.
- Excellent organizational and time management skills are necessary to handle multiple tasks and deadlines effectively.
- Must have a professional demeanour, the ability to work with others, and to handle sensitive situations with tact and diplomacy.
- A commitment to maintaining the highest level of confidentiality when dealing with employee records and business information.
- Be flexible, adaptable, and a self-starter. Pro-active in finding efficiencies in processes to streamline people matters.
- Typically, a bachelor's degree in human resources, business administration, or a related field is preferred.
- Previous experience in an HR Executive/Coordinator role or a similar administrative position (2-5 years).
- Experience in a law firm or professional services environment can be particularly valuable.
- High performing environment with a focus on attention to detail and the ability to work well under pressure and meet deadlines.
