Administrative Officer

Job Summary: This incumbent report to Senior Manager of General Affairs.Primarily responsible for administrative related duties include supporting corporate admin and secretarial work as determined by superior.


Responsibility:


1. Administrative Duties
• Issuance of non-trade purchase order.
• Issue, control and manage office stationery, printing supplies and
office equipment
• In charge of office sundries, meeting room management & toilets
supplies, Source/negotiate/review with suppliers on quotations
pertaining to HOD’s approval.
• Liaise with technician, vendor or contractor for repair and
maintenance of equipment, facility and building maintenance e.g.
Air-con, copier machines, water dispenser, snack dispenser
machine, air purifier, toilet air-fresher/sanitizer, lightings, doors,
facility management, etc.
• In charge of company fleet vehicles upkeep, diesel usage and
maintenance including renewal of road tax, insurance and COE.
• Pest control administration
• Good filing management of agreements, licenses, safety & sales
certificates (E-filing in GAD Shared Point at Pokka Connect).
• Renewal of PK Group (Singapore) General Insurance.
• Expatriate Accommodation, Private Cars Management.
• Supervision of dispatch rider’s roles and duties.
• Company transport arrangement
• Building Facility Maintenance upkeep
• Fixed Assets Registry.
• Replenishment of first aid box & Maintenance of AED Defibrillators.
• Other ad-hoc duties as and when assigned by HOD
• Issuance all non-trade
PO follow the approval
matrix and compliance
protocol, issue non
urgent PO within 2-5
days and urgent PO
within 1-2 days.
• Ensure uninterrupted
office supplies


2. Support Reception Duties (Contactless Reception)
• Handle all incoming calls
• Mails managements including distribution and record maintenance
of all incoming and outgoing mails to relevant departments,
postage, courier services and etc.
• Floral & Gifts Ordering – assist to contact floral & gift company for
company related Floral & gifts orders as approved by HR.
• Ensure schedule cleaning routine by contractors are kept on time
and done within company’s cleaning standards & set protocols


3) Support in Corporate Admin/Secretariat duties
• Office Contract Management & Filing
• Manage Pokka Connect – GA Department’s Administration
• Facilitate ECM / BDM in the absence of Department Head.
• Liaison with Corporate Sec Filing Agent as assigned.
• Prepare DRIW, Extract DRIW & Etc.
• Handling Air-tickets, hotel accommodation bookings and Visa /
Permit application.


Requirements:


Education & Experience

• Minimum O-Level / Diploma or equivalent will be advantageous

• Preferably 2 years of administrative/general clerical experience


Aptitude and Skills

• PC Literate

• Independent & strong in multi-tasking

• Good working attitude

• Ability to interact with staff of all levels

• Able to speak both English and Mandarin

• Careful and meticulous in numbers (for PO issuance /Quotation Comparison)

• Good initiative and team player


- Able to start work immediately or at short notice would be preferred
