Contract Period: 1 January 2025 to 31 December 2025
Option to Extend: 1 January 2026 to 31 December 2026 (optional)
Objective:
The Contractor shall provide one competent Administrative Assistant to support the administrative functions of Evergreen Secondary School. The role involves providing general administrative support to ensure smooth operations within the school.
Working Hours:
Personnel may be deployed on either Shift 1 or Shift 2, depending on school requirements:
- Shift 1: Monday to Thursday, 7:00am to 4:30pm (inclusive of 1-hour lunch break); Friday, 7:00am to 4:00pm (inclusive of 1-hour lunch break)
- Shift 2: Monday to Thursday, 9:00am to 6:30pm (inclusive of 1-hour lunch break); Friday, 9:00am to 6:00pm (inclusive of 1-hour lunch break)
- Service not required on Saturdays, Sundays, and gazetted public holidays.
Key Responsibilities:
- Office Administration:Manage the reception at the Admin Office.
Handle calls and enquiries efficiently.
Provide frontline service to all stakeholders including parents, students, staff, and contractors.
Maintain records of incoming mails and distribute them appropriately.
Perform data entry and filing of records and documents.
Maintain lost and found items and records.
Distribute graduating certificates and other materials and items as needed.
Manage students who report late to school and those needing early dismissal.
Attend to unwell or injured students and staff in the sick bay, providing appropriate assistance.
Maintain accurate records of students attending the sick bay.
Provide administrative and logistical support for school operations, functions, and events.
Perform other administrative duties as required by the school.
Qualifications and Experience:
- Minimum of 2 years of administration experience, with at least 1 year in a school context, preferably within MOE secondary schools.
- Minimum GCE “O” Level or “N” Level Certificate or equivalent.
- Proficiency in Microsoft Office applications (MS Word, Excel, etc.).
- Ability to multi-task and work in a fast-paced environment.
- Customer service oriented with excellent interpersonal and communication skills.
- Willing to learn, meticulous, and a good team player.
- Strong command of English (written and spoken) and preferably one other mother tongue language.
