Responsibilities:
- Handle daily market list ordering. Receives PR list from the end user via system on a daily basis and arranges for delivery of those items daily.
- Coordinate with end user for the products specification required and work with suppliers to ensure daily requirements are met and timely delivery.
- Ensure all F&B products order are listed in the approved items & approved vendor list.
- Arrange any urgent items required in case of emergency requirements. May be as cash purchase depending upon requirement urgency level.
- Ensures that all authorized or approved purchase orders are sent to their respective suppliers/vendors for delivery purposes on a daily basis.
- Monitor vendors for quality, service and price meeting all Tipsy’s guidelines and quality specifications.
- Obtain competitive quotations for Tipsy’s requirements and ensure that the best product is sourced and purchased.
- Calls for quotations for any items costing more than a certain amount (As per company DAL policy) and inquire into prices from various suppliers. A minimum of three independent genuine quotations must be obtained.
- Ensures & verifies that quotations are regularly updated and supplier’s new current price lists are maintained.
- Conduct market surveys of all items to be purchased for the purpose of cost savings.
- Liaises and co-operates with all Department Heads to ensure that every department in the Tipsy’s receives goods and services as they required on a timely basis.
- Keep a track of open purchase orders & follow up with vendors for timely supply and closure of orders.
- Assist the Assistant Purchasing Manager on tender process, supplier selection etc.
- Assist the Assistant Purchasing Manager for the food/material supplier audits to confirm compliance with food safety standards. Understand, assist, and update food supplier’s audit files and documents to ensure food safety compliance.
- Coordinate with end user departments for quality control to ensure the receiving of standard quality of product.
- Coordinates all administrative matters within the department and other departments on purchases. Maintains all documents, files and listings up to date.
- Assist Store & Receiving in receiving of items ordered and store functions as and when required.
- Complies with all the Tipsy's Policy & Procedures, Accounting Standards, Safety and Security standards and requirements.
- Perform any other duties as assigned by the Assistant Procurement Manager and / or management.
Requirements:
- Holds a Diploma or equivalent.
- Passionate about the F&B industry.
- At least 2 years’ experience in similar role.
- Proficient in computer literate, particularly skilled in Microsoft Excel and Word.
- Enjoys working in a dynamic, fast-paced environment, team player attitude, and a proactive can-do attitude.
- Ability to work under pressure to meet deadlines.
