Job Description
You will be working side-by-side with the Client’s Sr. Management Team and Project team from its project initiation, design phase, procurement, construction, commissioning and to completion and handover.
The projects will be challenging and complex.
Responsbilities:
- Scheduling and Calendar/Diary Management
- Support for travel arrangements
- Expenses management support
- General Administrative support
- Securing/Booking of meeting rooms set up of general IT/AV to facilitate meetings.
- Assist to follow up on deliverables from the team members.
- Provide administrative support to project team in daily operations
- Manage, prepare and maintain proper records and filing of all documents for assigned projects
- Maintain adequate to-date files documentations in accordance with company policy
- Upload timely updates to company internal project management system
- Ensure the cloud filing system is updated with latest project files, status reports, photographs, etc.
- Assist with regular reporting on project status
- Provide operations and administration support to the team
- Provide general administrative support
- Liaise with project managers, project consultants, designers, cost managers, etc.
- Prepare and compile management reports, presentations and other materials
- Other ad-hoc tasks as assigned
Requirements:
- Relevant experience and knowledge in building facilities management is preferred.
- Proficient in MS Office Applications (Word, PowerPoint and Excel).
- Familiar with statutory regulations and building codes.
- Excellent team player with strong communication skills and good computer literacy.
- Meticulous, organised and able to multi-task to handle multiple projects/sites at any time.
