JOB DESCRIPTIONS
General Responsibilities:
· Assist in daily operations of the Operations department as needed under the guidance of the Operations Manager and Team.
· Work under the guidance of Managers and Marine Superintendents from the Operations department and assist with carrying out ad-hoc tasks as necessary.
Special Responsibilities and authority include but are not limited to:
· Maintain and prepare the SPRO Agreements when vessels call ports in China.
· Maintain and upload HVPQ and Crew Matrix on the OCIMF websites as needed as well as during the vessel’s monthly and weekly reporting.
· Update certificates in Q88 website for the fleet.
· Maintain and monitor the records of the Ship Sanitation Control Exemption Certificates (SSCEC) of fleet vessels.
· Maintain and monitor tracking records on the status of Dispensation letters from Flag State.
· Maintain and prepare the weekly position lists for fleet vessels.
· Maintain all US-related documentation such as VRP, NTVRP, CCP, PCSOPEP, COFR for fleet vessels calling US ports.
· Assist in the preparation of Ship Security Plans (SSP), Ship Security Assessment (SSA) and On-Scene Security Survey (OSSS) as required under the guidance of the Company Security Officer.
· Assist in the preparation of Marine Superintendent Inspection reports.
· Take an active part in the Health, Safety, Quality, Environment, Energy and Cyber Security Culture within the Company.
· Monitor the Navigation, Cargo, Mooring audits for the fleet.
· Prepare documents for the TMSA office audits.
· Assist in Flag state registration.
REQUIREMENTS
· Min. GCE ‘0’ Level with good score and working experience in ship management or Ship Owning company for Technical, Operation or Safety department for at least 4 to 5 years.
· Polytechnic Diploma in Maritime or any Engineering discipline. Experience in Ship Management or Ship Owning company for Technical, Operation of Safety department for 1 to 2 years is preferred.
· Good written and interpersonal communication skills.
· Resourceful, driven, proactive, punctual, discipline and independent.
· Team player, able to work with team members.
· Ready to work extra hours and during weekend if required.
· Ability to work in a fast-paced environment with deadlines and goals.
· Computer literate in Microsoft Word, Excel, Power Point and Outlook is must.
