Statement Of Purpose (Overall Purpose of Job)
To source, negotiate and procure various vendors / material suppliers for electrical project, keep track and monitor the project finances within the budget, as well as ensure that the financial position of the project is accurately reported and effectively controlled.
Major Duties & Responsibilities
(A) Specific :
- Take off quantities.
- Raise queries on discrepancies in tender documents / drawings.
- Responsible for the Purchasing Administration.
- Source and liaise with new or current suppliers in purchasing operation with proper evaluation process such as good quality, services, price competitiveness and others.
- Send Request for Quote (RFQ) to suppliers, review the quotes & select the most competitive supplier.
- Negotiate pricing, lead time & contract terms with suppliers.
- Prepare Purchase Order (PO) and update Procurement Table.
- Matching of supplier’s invoices with supporting documents such as PO & DO.
- Carry out entry and verification exercise on supplier invoice against PO and submit to finance department timely.
- Negotiate within the budget cost.
- Submit monthly procurement report for individual project.
- Maintain up to date prices from suppliers.
- Liaise with Vendors, Sub-contractors, Suppliers and internal customers.
(B) General :
- To maintain proper documentation for all projects.
- To coordinate and work with other departments.
- Prepare the relevant reports.
- Other duties as assigned.
(C) Safety :
- Follow the Company safety procedures, rules and regulations and eliminate or reduce hazard at the work place.
Job Requirements
(A) Education, Qualifications & Special Training :
- ‘Diploma or Degree in Quantity Surveying or related field.
- Job holder without the above qualification but with relevant experience would be considered.
(B) Knowledge & Skills :
- Possess effective organizational and follow-up skills, meticulous.
- Have excellent negotiation skills.
- Independent, proactive and self-motivated.
- Good teamwork.
- Good interpersonal / Communication skills.
- Effective time management.
- Proficient in Microsoft Office.
(C) Experience :
- Preferably with minimum 2 years of purchasing experience.
- Preferably with working experience in related fields or construction industry.
