Job Description
- Grant Management and Research Project Administration
- To oversee all aspects of grant administration for research projects, including grant claims/reporting, human resource administration for research purposes, and coordination of visiting scholars for research.
- Provide expert advisory support to Principal Investigators (PIs) on university policies and procedures, as well as terms & conditions of grants.
- Manage the end-to-end processing for invited visiting scholars under the Academic Visitor scheme.
- Programme Management for Postgraduate Coursework and Research
- Lead the administration of the Postgraduate Coursework and Research programmes, ensuring smooth operations from admission to graduation.
- Supervise the admission process, including verification of applicants’ qualifications, coordination of admission interviews, and management of acceptance fees.
- Manage pre-exam and post-exam procedures, including qualifying exams, Research Thesis examination, exam scheduling, and processing of exam results.
- Collaborate closely with the Programme Director to oversee end-to-end administration, including outreach activities and curriculum management.
- Curriculum Development and Policy Implementation
- Assist Deputy Heads and Programme Directors in implementing curriculum changes and developing new courses.
- Ensure timely updates of relevant materials such as webpages, university bulletins, and course handbooks.
- Stakeholder Engagement and Customer Service
- Serve as a primary point of contact for staff, students, prospective applicants, and stakeholders, addressing inquiries and promoting positive customer service practices.
- Establish and maintain Service Level Agreements to ensure timely response to queries and requests.
- Organize and coordinate promotion events and activities.
- Administrative Support and Operations Management
- Provide comprehensive administrative support to students and faculty throughout the student lifecycle.
- Compile and analyze data, prepare reports for management and stakeholders, and contribute to the documentation of standard operating procedures.
- Review contingency processes to ensure the smooth operation of the department and assist with ad-hoc tasks as assigned by the Administrative Team Lead.
- Centre for Sustainable Asian Cities (CSAC) Support
- Manage full administrative support, including HR, financial, procurement, and administrative matters related to research projects and events at the CSAC.
- Act as the main point of contact for the centre, liaising with internal and external stakeholders.
Job Requirements
- Bachelor’s degree in any discipline Minimum of 3 years of relevant work experience in academic administration, with a focus on research project management and postgraduate programme administration.
- Experience in Human Resources and Finance is highly advantageous. Strong organizational, communication, and interpersonal skills. Ability to work effectively in a fast-paced environment and manage multiple priorities simultaneously.
- Candidate are required to be detailed and merticulous, with the ability to handle pressure effectively.
