Primary job responsibilities:
- Provide general administrative support for the Regulatory Affairs (RA) department’s leaders inclusive but not limited to calendar management, to maintain smooth office operations without any disruption.
- Purchase request and purchase order creation
- Responsible to support scheduling meetings on a timely, effective and efficient manner
- Support in overseas travel bookings, including Visa application and submit expense claims, as needed.
- Plan and prepare the logistics, catering, and agenda for local departmental events.
- Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
- Interface with other departments and sources external to the company. Provide general company and department information as appropriate.
Requirements:
- Diploma or degree or equivalent, additional certifications or training in administrative, secretarial, or related fields is a plus.
- At least 3 years of relevant work experience in administrative work including calendar management, scheduling travel arrangements, managing expense claims, and coordination of department events and complex executive meetings
- Good coordination, planning and resource management skills
- Proficient in SAP Concur and MS Office (Outlook, Microsoft Word, Excel, PowerPoint)
- Good problem-solving skills with positive attitude
- Experience in working in a MNC and matrix environment
- Experience in supporting multiple direct managers and large staff group
- Ability to exercise high level of professionalism and confidentiality.
- Excellent team player, fast learner, and proactive
- Willingness to learn new skills.
- Understand the need to work across different time zones, when required.
