Personal Assistant

Primary duties and responsibilities:

1. Manage daily schedule and calendar

2. Maintain documentation and filing system

3. Handle monthly credit card and cash reimbursement

4. Write communication letters, reports and documents

5. Coordinate meetings, business calls and communicate with subsidiary offices in Singapore and Korea

6. Maintain and manage contact list. Liaise with internal and external contacts

7. Manage travel arrangements

8. Handle and provide support to guests/visitors (e.g. airport pickups and hotel check in)

9. Organise, coordinate and provide support for internal/external events (e.g. company/hotel events)

10. Provide support to Group Advisor’s personal matters and family as and when required

11. Run errands (e.g. bank, personal or administrative errands)

12. Accompany Group Advisor on appointments and airport departure/arrival (as and when necessary)

13. Undertake any ad-hoc HR assignments when tasked – support HR department


Skills & Knowledge requirements:

1. Minimum a diploma holder of any field of studies

2. Good physical strength to assist Group Advisor of senior age on his business trip and appointment

3. Minimum 1 year experience in this field or similar field

4. Having good sense and ability to think ahead

5. Proficient in English and Korean language (To translate Korean documents and communicate with Korean speaking Advisor and clients)

6. Excellent service mind, communication and interpersonal skills

7. Pay attention to details and uphold confidentiality

8. Excellent time management and planning/organising skills

9. Comfortable with routine job and able to multitask

10. Takes initiative and is reliable with positive attitude, able to work under pressure

11. Committed to working overtime when necessary
