Responsibilities:
Administration
- Collaborate closely with executive and support teams (Finance, HR, Procurement, IT).
- Coordinate and support onboarding of new employees, including training, technology and workspace setup
- Provide general administrative support to certain executives on an as-needed basis.
- Other admin projects and duties as assigned.
Vendor management and procurement
- Source and screen new vendors in collaboration with the executive team.
- Evaluate vendor quotations and recommend contract awards based on quality, delivery, and cost.
- Review vendor contracts with upper management
- Support with procurement and vendor management, sourcing, and invoicing process.
Finance support
- Support the finance team with budget management and expense tracking related to office operations.
- Bookkeeping on transaction records, event expenses, and daily operation budget; exercise office inventory control.
HR support
- In-charge of talent acquisition (recruitment, retention, engagement)
- Handle learning and development function (TNA, training arrangement, follow-ups)
- Perform payroll as a back-up
- In-charge of on-boarding and off-boarding for employees
Requirements:
- Master's Degree of any discipline
- Minimally 4-6 years of relevant experience
- Detail oriented and analytical
- Possess good time management skills
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
- Excellent organizational skills with the ability to multitask and prioritize effectively.
- Strong communication skills, both verbal and written.
- Ability to work independently and as part of a team.
- A proactive approach to problem-solving with strong decision-making skills.
