Job Title: Office/Admin Assistant (Manpower Supply)

Contract Duration
- Primary Contract Period: 1 January 2025 to 31 December 2025
- Option Year: 1 January 2026 to 31 December 2026
- Working Hours:Mondays to Thursdays: 7:00 AM to 4:30 PM (inclusive of a 1-hour lunch break)
Fridays: 7:00 AM to 4:00 PM (inclusive of a 1-hour lunch break)
No service required on Saturdays, Sundays, and gazetted public holidays.
Scope of Services
Reporting to the Administration Manager (AM), the personnel will assist with the following duties:
Counter Duties
- Handle customer service counter, attending to a high volume of phone calls and visitors.
- Manage visitor queries, take messages, and provide general information.
- Utilize the school’s IT systems for administrative tasks.
- Assist with queries from parents, students, vendors, and staff.
- Contact students during special events or ad-hoc situations.
- Provide basic assistance to students with needs, including handling cases involving sick or injured students. Escalate any complex cases to other office colleagues.
- Support in situations involving students’ hygiene needs (e.g., vomiting or soiling).
General Duties
- Manage the office forms cabinet, ensuring all forms are updated and restocked regularly.
- Perform general typing duties and assist with document preparation.
- Assist with stores supplies management and inventory during school holidays.
- Support school events by coordinating catering and setting up rooms.
- Provide general administrative support as needed.
Qualifications, Skills, and Experience
The personnel should meet the following requirements:
- An effective team player with good communication and interpersonal skills.
- Ability to work well under tight schedules and handle dynamic situations.
- Independent, resourceful, proactive, and committed to the job.
- Strong organizational skills.
- Minimum 2 years of relevant experience working in a primary school environment.
- Basic computer literacy (Microsoft Word, Excel, etc.).
- Preferred qualifications:Higher Nitec or Nitec
GCE ‘O’ or ‘N’ Level certificate or equivalent
