Overview:
The Executive Assistant (EA) to the AAC Cluster Manager is a critical support role within the House of Joy Active Ageing Centre (AAC). The EA will facilitate the effective management of AAC services by ensuring compliance with relevant policies and government regulations, assisting in performance management, and representing the Cluster Manager in various community engagement initiatives.
Key Responsibilities:
Regulatory Compliance and Policy Adherence:
- Develop a thorough understanding of all requirements set by government agencies related to the delivery of AAC services and eldercare.
- Assist the Cluster Manager in ensuring that all operations comply with these policies and help implement changes to processes as legislation evolves.
Performance Management Support:
- Support the Cluster Manager in monitoring and reporting on the performance outputs and outcomes of the AAC.
- Assist in the collection, analysis, and preparation of reports that document the AAC's performance for CHCSA senior management and relevant government bodies.
Reporting and Documentation:
- Facilitate the preparation and submission of required reports and presentations to government agencies and internal stakeholders.
- Maintain accurate records and documentation related to AAC operations and compliance.
Community Engagement and Representation:
- Represent the Cluster Manager at networking events, community engagement sessions, and meetings with community partners.
- Foster relationships with stakeholders to enhance the service delivery and reputation of the AAC.
Administrative and Operational Support:
- Manage the Cluster Manager’s schedule, ensuring efficient allocation of time and resources.
- Assist the Cluster Manager in various administrative and operational duties as assigned, ensuring the smooth functioning of the AAC.
Qualifications:
- Bachelor’s degree in social sciences, healthcare management, public administration, or related fields.
- Previous experience in an executive assistant or similar role, preferably within the healthcare or social services sector.
- Excellent organizational, administrative, and planning skills.
- Proficient in Google Suite.
- Strong interpersonal and communication skills, capable of representing the Cluster Manager effectively in various forums.
- Ability to handle confidential information with discretion and integrity.
- Ability to work with a flexible schedule and be available to work in the evenings or weekends when needed.
Reporting:
This position reports directly to the House of Joy AAC Cluster Manager.
