POSTION: ADMIN EXECUTIVE
Responsibilities but not limited to the following
· Performs various secretarial, clerical, and administrative duties, but with specialized attention to the fact that the information, decisions, and communication involved may be sensitive or confidential.
· Assist and coordinate the day-to-day general administration & operational matters
· Manage the CEO's calendar, appointments, and scheduling, ensuring efficient time management and prioritisation of meetings and events.
· Facilitate seamless travel experiences by arranging flights, accommodation, visas, and transportation.
· Coordinate and organise internal and external meetings, including preparing agendas, coordinating logistics, and providing necessary documentation.
· Handling and arranging for courier services when needed
· Process orders for office supplies, paper, and pantry supplies and maintain records of inventory and reorder as necessary.
· Accurately input and maintain data records.
· Assist with special projects, initiatives, and confidential matters, while fostering a positive and high-integrity organizational culture
· Any other tasks, projects and/or confidential matters assigned as and when needed.
Requirements and skills
· Diploma in any relevant field
· 2 to 5 years of experience in a similar role ideally in IT trading and consultancy industry.
· Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
· Knowledge of online calendars and scheduling (e.g. Google Calendar)
· Excellent phone, email and instant messaging communication(WeChat, Line, WhatsApp) skills
· Exceptional written and verbal communication skills in English AND CHINESE to deal with clients from Taiwan and China markets.
· A keen learner (Tech-savvy, eager, and quick to learn new technology)who possesses service leadership skills that portrays service professionalism in attitude and appearance.
· Ability to be resourceful and proactive when addressing issues.
· Strong organizational skills with the ability to prioritize tasks effectively.
· Excellent multitasking and time-management abilities.
· Confident, decisive, and experienced communicator with strong written and verbal skills that can use tact and diplomacy when interfacing with different personalities
· Proactive and willing to suggest additional areas of responsibility that can be delegated
· Independently seek to identify and resolve problems by being a creative and proactive problem-solver - be solution focused
· Ability to work in a fast-paced environment, manage priorities/deadlines accordingly
· Capable of performing duties with a high level of confidentiality and discretion while exhibiting integrity and trustworthiness with sensitive information
· Cope well with ambiguity and changes in direction as solutions are developed

Work Arrangement
· Work from office only
· Office hours: 9am – 6pm, Mondays to Fridays
· Office location: Ubi, nearest MRT (Tai Seng and Macphearson, Circle Line)
