We are seeking a highly organized and proactive Business Assistant to support our dynamic team. In this role, you will manage daily office operations, coordinate travel arrangements, and provide business assistance to our management team. The ideal candidate will be detail-oriented, efficient, and capable of handling a variety of tasks with professionalism and discretion.
Key Responsibilities:
- Office Management: Oversee daily office operations including maintaining office supplies, managing office equipment, and ensuring a clean and organized work environment.
- Travel Arrangements: Coordinate and manage travel arrangements for the team, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Calendar & Schedule Management: Assist with scheduling meetings, appointments, and events for the management team. Ensure all necessary materials and resources are prepared in advance.
- Personal Assistance: Provide personal administrative support to the management team, including handling confidential information, managing personal appointments, and completing special tasks as requested.
- Communication: Act as a liaison between the management team and internal/external stakeholders. Handle phone calls, emails, and correspondence with professionalism and efficiency.
- Document Management: Prepare, review, and file documents, reports, and presentations. Ensure accurate record-keeping and proper document organization.
- Meeting Coordination: Organize and coordinate internal and external meetings, including arranging catering, setting up meeting rooms, and preparing agendas and minutes.
- Event Planning: Assist with planning and executing company events, team-building activities, and other special projects as needed.
- Expense Management: Process expense reports, track office budgets, and handle invoicing and payments.
Qualifications:
- Bachelor’s degree in Business Administration or a related field is a plus.
- Minimum of 3 years of experience in office administration, executive support, or a similar role.
- Proven experience in coordinating travel arrangements and managing executive calendars.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment and software.
- Excellent organizational and multitasking skills, with a keen attention to detail.
- Strong communication skills, both written and verbal, with the ability to interact effectively with various stakeholders.
- Ability to handle confidential information with discretion and maintain professionalism at all times.
- Demonstrated ability to work independently and as part of a team in a fast-paced environment.
