Job Responsibilities
Documentation Management:
- Maintain accurate and up-to-date project documentation, including contracts, permits, drawings, and correspondence.
- Organize and file project-related documents in a systematic manner for easy retrieval.
Coordination:
- Act as a liaison between on-site personnel, project managers, and external stakeholders.
- Coordinate meetings and ensure timely communication of project updates.
- Assist in scheduling and coordinating site visits, inspections, and deliveries.
Logistics Support:
- Monitor and manage office supplies, equipment, and materials inventory.
- Coordinate the logistics of incoming and outgoing shipments.
- Support the coordination of accommodation and transportation for on-site personnel.
Communication:
- Facilitate effective communication channels among team members and external parties.
- Prepare and distribute internal and external project-related communications.
Health and Safety Compliance:
- Assist in maintaining compliance with health and safety regulations.
- Support the coordination of safety training for on-site personnel.
Budget Tracking:
- Assist in tracking and managing project-related expenses.
- Collaborate with the finance department to ensure accurate financial records.
Problem Resolution:
- Address and resolve administrative issues promptly and effectively.
- Report any concerns or discrepancies to project management.
Job Requirements
- At least Diploma in administrative or business related.
- At least 3 years’ working experience in administrative duties, experience in civil project site is essential.
- Proficient in computer and MS Office application.
- Bilingual and able to communicate with Chinese clients is a MUST.
