Admin Executive

The Role:

• Coordinate with technical team members in updating work progress
• Assist Technical Director in supervising the technical team members and ensure the guidelines are met
• Follow up and update technical documents such as Team KPI reports, attendance tracking, training arrangement and record updates, team org charts, etc.
• Assist in calendar support, team meeting arrangement, record & distribution of meeting minutes
• Assist in development and distribution of job status reports
• Assist in project time tracking and costing reports when necessary
• Facilitate all project logistics and facility needs
• Purchase of PPE items and wish list items through HR / Procurement
• Effectively handle and manage customers’ feedback and complaints
• Responsible to upkeep the service level to ensure service excellence delivery to both internal and external customers and partners

Benefits:

• Monday - Friday 830am - 6pm
• Location: Outram
• Salary: $2800 - $3500
• AWS + PB

Requirements:

• Strong MS Excel skills
• Experience with Sales Force system will be an advantage

Job Title:

Responsibilities

• Report directly to the Finance Manager and Managing Director.
• Oversee Accounts Receivable and Accounts Payable functions.
• Prepare invoices and credit notes promptly.
• Handle daily financial transactions, including cash book and bank book management.
• Liaise with clients and suppliers on payment matters to ensure smooth transactions.

Requirements

Overview

We are seeking a detail-oriented and proactive Finance and Admin Executive to join our team. This role involves managing financial processes, compliance matters, and administrative tasks to support the company’s operations.

Responsibilities

• Handle the closing of accounts and prepare full sets of accounts within tight deadlines.
• Perform data entry for purchasing invoices, receipts, payments, and journal entries.
• Raise payment vouchers and journal vouchers for various disbursements for approval.
• Process travel claims and address billing issues.
• Monitor monthly cash flows.
• Reconcile all bank accounts monthly.
• Maintain the Fixed Asset Register and ensure alignment with the general ledger.
• Raise debit/credit notes for related party payments.
• Prepare and submit quarterly GST and Withholding Tax (WHT) filings.
• Review transaction journals for closing other entities within the group.
• Assist in preparing documentation for internal and external audits.
• Liaise with external parties such as vendors, landlords, banks, auditors, and statutory/regulatory authorities.
• Support ad-hoc administrative tasks.
• Provide support for additional matters and ad-hoc projects as required by management.

Requirements
