Key Responsibilities:

• Client Communication: Handle correspondence with clients, schedule meetings, and maintain accurate client records.
• Document Management: Maintain and update project files, contracts, and invoices.
• Scheduling: Organise project timelines, meetings, and appointments for sales team and designers.
• Data Entry: Accurately enter and maintain project-related data in internal databases.
• Support to Team: Provide all administrative support to the team such as preparing documents, and managing submissions.
• Accounts Support: Assist to liaise with finance department with invoice and receipt processing, tracking payments, and preparing expense reports.
• Vendor Coordination: Liaise with suppliers and contractors to obtain quotes, coordinate deliveries, and ensure materials are available for projects.
• Office Management: Ensure the office runs efficiently by managing supplies, organising meetings, and coordinating maintenance services.
• Other Duties: Perform additional administrative tasks as required.

Requirements:

• Diploma or degree in Business Administration or related field.
• Minimum of 3 years of experience in an administrative.
• Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Excellent communication skills, both written and verbal.
• Ability to multitask and prioritise tasks efficiently.
• Detail-oriented and capable of working independently.
• High level of discretion and confidentiality.
• Strong attention to detail and problem-solving skills.
• High level of professionalism and discretion.
• Ability to adapt to changing priorities and work efficiently under pressure.

Job responsibilities:

• Assist in office administration, documentation and data entry.
• Office administrative functions such as filing, copy/faxing, maintaining supplies needed to run the organization.
• Perform receptionist duties, including attending to incoming calls, receiving and serving visits, handling of mails.
• Assist with the general day to day administrative tasks
• Any related ad-hoc duties or assignments as instructed by the Management.

Job responsibilities:

• Provide general administrative support to Property Division including preparation of tenancy, Option to Purchase and documentations and to administer tasks accordingly and completed timely.
• Manage day to day tenancy related matters and address tenants’ feedback and requests promptly.
• Ensure proper handing and takeover of premises to/from tenants / buyers
• Address and respond to enquiry, feedback, and requests for property related matters.
• Maintain proper documentation filing record in orderly manner.
• Any other duties that may be assigned.

Requirements:

• Minimum Diploma qualified preferably in Building/Mechanical/Electrical Engineering/Facilities Management or equivalent qualifications.
• 1 – 3 years of related experience in Property Sales, Leasing, Property Management, office administration
• Possess strong interpersonal, technical, and follow-up skills.
