Responsible for full-spectrum of administrative support to company’s business operations.

Job Scope

• Coordinate with Sales & Marketing Department to prepare quotations.
• Involved in project delivery by receiving clients’ purchase orders, issuing delivery orders and return forms, arranging for equipment testing/ certificates and maintenance; responding to clients’ requests where necessary thereby ensuring smooth operations & maximum client satisfaction.
• Responsible for preparation of delivery orders, progress claims and invoices, and verifying details with clients.
• Responsible for monitoring clients’ payment status, and finalizing project accounts for completed projects.
• Maintain and organize important corporate documents, contracts, and records relating to equipment, operations and corporate compliance documentations.
• Manage and keep records of company’s assets within company’s internal system.
• Be responsible for any other duties that may be assigned from time to time as your superior/management deems fit.
• Entry level candidates without experience will be considered to apply as training will be provided.

Job Requirements

• At least 1-2 years of clerical admin would be an advantage.
• Minimum GCE O level/ NITEC graduate or administrative field.
• Proficiency in Microsoft Excel, Outlook and Word etc.
• Strong interpersonal skills, with ability to communicate with all levels in the organization.
• Ability to work in a team environment, including inter-departmental teams and key contact representing the organization on projects.
• Proactive, well organized and meticulous.
• Bilingual in English and Mandarin.

Job description

Our client, a leading and established company in Singapore, is expanding. Join them in this exciting journey as a:

Administrative Specialist

Responsibilities:

1. Lease Document

• Responsible for management of leases which includes preparation and checking lease document, ensuring that the lease document are signed and returned promptly via docusign, monitoring the payment as required in accordance to lease document
• Stamping of lease document
• Updating Tenancy Schedule
• Updating lease status report

2. JTC and IRAS

• Submission of sublet application to JTC, monitoring the status of the sublet application
• Liaising with JTC on land rent revision notices
• Liaising with IRAS on property tax revision notices

3. S/4 Hana - SAP

• Input/create lease contract in S/4 Hana and submission to the relevant approver to activate/unlock contract
• Input/create sublet contract in S/4 Hana and submission to the relevant approver to activate/unlock contract
• Maintenance of Contact Persons in SAP and rental objects
• Liaising with Finance to ensure that the monthly rental invoices are promptly sent to the tenants
• Generate Ad Hoc Billing and reconcile invoices on timely basis
• Maintenance of reports in S/4 Hana
• Maintenance of Vendor Invoice Management system

4. Arrears Management

• Generate Ageing Reports for internal Credit Control Committee (CCC) reporting and generate reminder letters to tenants in arrears

5. Miscellaneous

• Perform ACRA searches and reconciliation of invoices

• At least 2 years of relevant experience in handling the following areas:

1. ACRA searches and reconciliation of invoices (strongly preferred)

2. Liason with JTC and IRAS (strongly preferred)

3. SAP S/4 HANA (Data Entry Purposes) (must have)

4. Handling lease documents (must have)
