Job Description: The Admin and Operations Executive – Cleaning will play a vital role in supporting the Cleaning Manager in the administrative and operational aspects of our cleaning social enterprise. You will assist in coordinating day-to-day operations, ensuring smooth workflow, and contributing to the overall efficiency of the cleaning team.
Key Responsibilities:
1.
Administrative Support: Provide administrative assistance to the Cleaning Manager, including handling correspondence, maintaining records, and organizing documentation.
2.
Operational Coordination: Assist in coordinating scheduling, manpower deployment, and resource allocation to optimize cleaning services delivery.
3.
Client Communication: Liaise with clients to gather requirements, address inquiries, and facilitate service arrangements in collaboration with Cleaning sales and marketing.
4.
Data Management: Maintain accurate and up-to-date records of cleaning activities, client interactions, and operational metrics for reporting and analysis purposes.
5.
Procurement and Inventory Control: Manage procurement processes, maintain inventory levels of cleaning supplies and equipment, and coordinate with suppliers to ensure timely delivery.
6.
Training Support: Coordinate training sessions and workshops for the cleaning team, including scheduling, logistics arrangements, and participant communication.

Requirements:
1.
Previous experience in administrative support roles.
2.
Strong organizational abilities with attention to detail and the ability to manage multiple tasks concurrently.
3.
Good verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders.
4.
Able to work collaboratively with diverse teams, demonstrate initiative, and contribute to a positive work environment.
5.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with CRM software is desirable.

The Operations Executive supports our Retail Operations teams provide operational related support on a day-to-day basis to ensure smooth operations.

• Provide administrative support to Operations Management and Sales teams to ensure smooth day-to-day retail operations

• Be aware of store sales and KPI targets, as well as performance targets to accurately record, verify and compilation of sales related commission / incentives / push monies etc.
• Inventory management – support regular stock take as planned by Management to meet Licensing requirements.
• Provide administrative support in new stores opening and closing, new products launches and events.
• Ensure implementation of standards for BOH, ensuring, organization, general health and safety best practices are adhere to for all stores.
• To act as a liaison to process and update Brand Ambassadors details not limited to rostering consolidation & sales data sharing to Agencies. Maintaining of positive relationship with external vendors & agencies.
• Application of Airport passes for Vendors & external parties.
• Manage and upkeep inventory supplies to support Operations such as sourcing and ordering of stationery, packing materials, equipment, and all other ad hoc operations necessities.
• Identify improvement opportunities and communicate suggestions to management to drive operational & cost efficiency.
• Responsible for managing relationships with external vendors and suppliers, ensuring that they meet contractual obligations and quality standards.
• To work with other internal stakeholders and legal department to ensure contractual obligations are met to the best interest of the Organization.
• Reviewing existing processes, identifying inefficiencies and suggesting improvements to manage and optimize company’s processes.
• Responsible to take charge of all operational permit clearance and renewal for smooth operations.
• Ensure all administrative matters not limited to invoices & payments are made before deadlines.
• Scheduling of operations meetings, sending invites & facilitating of booking of venues.
• Compilations of reports, presentation for internal meetings.
• Collaborate productively and respectfully with team members.
• Adhere to company retail standards, operation procedure, customs compliance and related policy.

• Diploma / Degree in relevant discipline
• 2-3 years related Operations Administrative experience from FMCG Retail / Travel Retail industry

• Competent in Microsoft Office Suites and proficiency in Excel (Formula, Pivot Table, Power Pivot, Data Management, Powerpoint for presentation and Power BI for Data presentation (not mandatory but a bonus).
• Must have the ability to create template from scratch

• Responsible for the effective operation of the Mechem Sample and OPS Management group.  Plans, schedules, and organizes necessary resources to ensure appropriate effectiveness of sample/sample kit logistical challenge in but not limited to: receiving, sample entry, and client service representation.  Implements department policies to maintain facilities and equipment.
• Schedules logistic and/or sampling team, assign and optimize resources, identifies needed resources and coordinates the appropriate acquisition of facilities resources as applicable.
• Ensures that all entries into eLIMS are accurately completed and documented according to appropriate client requirements, client specifications, and other regulatory guidelines.

• Develops appropriate training plans, assures that staff is trained and proficient in all phases of Sample Receiving, Sample Entry, Client Services Representation, eLIMS utilization and any other Client Service applicable function as needed.  Generates training modules, as needed.
• Provides metrics analysis and updates for distribution to staff and leadership.
• Carries out process improvements to continually maximize the efficiency of the personnel and Sample Management areas, recommend solutions and implementation of action plans.
• Perform general human resources responsibilities including recruitment activities, performance evaluations, and progressive disciplinary processes, enforces Affirmative Action department goals.
• Provides for safety and welfare of staff and supports/enforces Environmental Health and Safety Policies.
• Act as a mentor to other staff and is looked on as an expert on Operational/eLIMS problems for Sample Management related issues.
• Proactive interaction with internal and external clients, troubleshooting client issues
• Maintains appropriate shipping and receiving permits, including hosting appropriate approval audits.
• Resolves problems and notifies manager of resolution when job is within scope of own ability.  Assists in meeting project goals within technical, time and budgetary constraints.
• Develop working relationship with internal clients/suppliers – particularly laboratory personnel and operations. Recommends approach and carries out solution as directed for more complicated problems.
• Able to lead project teams using management and leadership skills
