The Innovation and Entrepreneurship (I&E) Office at NTU is established under the NTU I&E initiative to drive overall synergy, coordination and interaction among the pillars along the innovation and entrepreneurship value chain at NTU. The Office seeks to accelerate the University’s efforts to translate NTU’s scientific discoveries, innovations and creative work into technological and social entrepreneurship activities that benefit industry and society.

The incumbent will perform key administrative support for the I&E office, ensuring process efficiency/effectiveness as well as smooth day-to-day operations. He/she will ensure timely and transparent financial reporting for the I&E Office, that complies with NTU financial policies and standards.

Responsibilities:

• Perform financial accounting and reporting; track usage of office budget, including monthly closing of accounts and preparation of financial reporting packages. Maintain accurate financial records and documentation that comply with NTU financial policies and standards.

• Develop and implement efficient administrative processes and procedures to ensure smooth operations of the I&E Office.

• Manage all procurement matters in the I&E Office, in accordance to university’s financial regulations and policies.

• Work with NTU internal stakeholders to collect and organise data and information from various sources for monitoring, projections and analysis; perform data analysis to support data-driven management decisions.

• Any other ad-hoc initiatives and projects undertaken by the Office.

Requirements:

• A Bachelor’s degree in Business, Finance, Accountancy, or a relevant discipline from a well-recognised university.

• At least 3 years of administrative and/or finance work experience.

• Hands-on experience in financial and accounting IT systems and applications.

• Knowledge of financial systems (such as SAP, Concur, Ariba) would be advantageous.

• Good knowledge of Microsoft office applications.

• Strong problem-solving and analytical skills.

• Strong interpersonal, verbal and written communication skills, with the ability to interact with various management levels.

• Adaptable and proactive, able to multi-task and work independently with minimum supervision.

• Analytical and meticulous.

Providing effective and efficient administrative and secretariat support to Dean, College of Engineering (DCoE), you will execute the full spectrum of programmes, tasks and activities, which include (but not limited to) appointment/meeting scheduling, documentation, minutes taking, report compilation and event management.

As an integral administrative member at the Dean’s office, you will also lead or be part of the taskforce in the planning, organization, and management of college-level programmes such as visit by the College Advisory Board and College Town Hall. You will also serve as a staff officer to DCoE in the management of documentation and travel arrangement, prioritization of requests, handling of sensitive information, communication management, management reporting, and facilitation of inputs and recommendations for decision-making.

Your key duties included but not limited to the following:

• Manage DCoE’s role-based email account and calendar.

• Manage DCoE’s schedule, appointments, travel arrangements and submission of various claims.

• Support research administration such as research database management and collation of information from internal and external stakeholders.

• Plan, coordinate and prioritize requests and information flow, ensuring seamless organizational communication.

• Coordinate and provide logistic support to college-related events and visits.

• Undertake any other ad-hoc initiatives and assignments undertaken by the Office.

Requirements:

• Degree qualification or equivalent, preferably with relevant working experience in a secretarial role

Responsibilities:

• Track and manage the Centre’s assets, funding, procurement, manpower and space resources.
• Manage the Centre’s special programmes and daily operations.
• Prepare progress reports, audit and budget statements in a timely manner
• Provide updated and organized data capture and management on centre information
• Be part of the working team to ensure that the Centre operates at maximum efficiency and complies with policies, procedures and standards.
• Provide workshop/conferences/events support and visits to the Centre
• Serve as a liaison to internal and external stakeholders
• Provide effective executive support to Centre Directors
• Continual review of work processes for improved efficiency and effectiveness in administration
• Any ad-hoc duties assigned by Centre Directors

Requirements:

• A good degree in any discipline from a recognized university with at least 3 years of relevant working experience. Applicants with working experience in a university capacity preferred.
