Job Description:

· Provides comprehensive and efficient secretarial support to Senior Management, ensuring high-quality work and adherence to deadlines.

· Manages and organizes appointments, schedules meetings, and keeps calendars up-to-date in an organized and efficient way.

· Prepares presentation slides and monthly reports for both internal and external meetings.

· Takes meeting notes, distributes them to relevant parties, and ensures timely follow-up on action items.

· Effectively coordinates meetings and conferences, including sending invitations and booking venues.

· Organizes company and corporate events, taking care of all necessary arrangements.

· Follows through on assigned projects and tasks, ensuring completion without the need for reminders.

· Collaborates with other staff members to ensure projects and tasks are successfully completed.

· Efficiently handles incoming and outgoing correspondence, ensuring timely follow-ups.

· Prepares management and other reports promptly.

· Arranges business travel, including coordinating flights, hotel reservations, and appointments.

· Assists with preparing travel and general expense claims.

· Maintains a well-organized filing system for document management.

Requirements:

· Min Bachelor’s Degree in relevant field

· Min 10 years of executive secretarial & administrative experience supporting senior management

· Experience in manufacturing or construction industry is beneficial

Responsibilities:

• Manage office operations in general
• Oversee business travel arrangement and hotel bookings
• Enhance the productivity of Administration workflow (Digitization)
• Contract and vendor management, (i.e. Vehicle leases, contract driver, service apartment, etc).
• Act as the office's tenant in managing the tenancy agreement, sublease and rental arrangement with the group companies.

Requirements:

• Bachelor’s Degree in Business Administration and Management, or a related field.
• Minimum of 8 years’ experience in Administrative / General Affairs management.
• Strong leadership, time management, computer literacy, organizational skills, strategic planning, interpersonal skills, and resourcefulness.
