Job Summary
The Sales Admin Coordinator provides essential administrative support to the sales team within the automotive industry. This role involves managing sales processes, coordinating with internal departments and external partners, and ensuring the smooth operation of sales activities. The Sales Admin Coordinator will contribute to customer satisfaction, sales efficiency, and accurate reporting.
Key Responsibilities
Sales Support: Assist the sales team with administrative tasks including processing orders, managing quotations, and tracking sales activities. Prepare and maintain sales documentation such as contracts, agreements, and invoices.
Ensure timely and accurate entry of sales data into CRM and other systems.
Customer Relationship Management: Manage and update customer records in the CRM system. Address customer inquiries and provide timely responses to ensure a high level of service. Follow up on leads, sales opportunities, and customer feedback to support the sales team.
Inventory Management: Monitor and manage inventory levels, ensuring availability of vehicles. Coordinate with suppliers and dealerships to maintain stock and manage supply chain issues. Track inventory turnover and report on stock levels and sales trends.
Reporting and Analysis: Generate regular sales reports and analysis, providing insights to support strategic decision-making. Monitor key performance indicators (KPIs) and track sales performance against targets.
Prepare reports on sales activities, customer interactions, and inventory status.
Coordination and Communication: Act as a liaison between the sales team, finance, and other departments to ensure smooth operations. Coordinate internal and external meetings, sales events, and promotions. Ensure effective communication and follow-up on action items from meetings.
Customer Service: Handle customer service issues, including returns, exchanges, and warranty claims. Process customer orders and track delivery status to ensure customer satisfaction. Provide support for customer inquiries related to vehicle specifications, pricing, and availability.
Event and Promotion Management: Organize and support sales events, product launches, and promotional activities. Prepare marketing materials and coordinate logistics for events. Monitor the effectiveness of events and promotions, providing feedback for improvement.
Training and Support: Assist in onboarding new sales staff and provide training on administrative processes and systems.
Support ongoing professional development for the sales team through training and resources.
System Management: Maintain and update CRM and sales management software.
Ensure data accuracy and security within sales systems. Troubleshoot and resolve system issues in coordination with IT support.
Qualifications
Education: High school diploma or equivalent; Associate’s degree or Bachelor’s degree in Business Administration, Marketing, or a related field preferred.
Experience: Previous experience in sales administration or a similar role, preferably within the automotive industry.
Skills:Strong organizational and time-management skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software. Attention to detail and accuracy in data entry and reporting.
Ability to work collaboratively in a team environment and handle multiple tasks simultaneously.
Knowledge: Familiarity with automotive products, industry terminology, and sales processes is a plus.
